Our client is a well-established industrial solution provider specializing in environmental sustainability and advanced material processing for global manufacturing leaders across the region. To support their expanding operational footprint in Malaysia, they are adding a business-aligned Executive Assistant to strengthen cross-functional accountability, streamline site-to-corporate communications, and support executive decision-making.
In this key operational role, you will act as a strategic right-hand lead to the Managing Director, driving organizational alignment, accountability, and cross-functional execution between corporate management, department heads, and site/factory operations.
Drive executive execution & alignment: Partner closely with the Managing Director to track strategic business priorities, monitor project progress, and ensure critical action items are executed on time to high standards.
Facilitate cross-functional liaison: Serve as the primary operational bridge connecting management, corporate functions, and plant/factory site teams to foster seamless collaboration.
Coordinate governance & meetings: Spearhead calendar management, prepare comprehensive meeting agendas, capture precise minutes, and systematically track post-meeting deliverables.
Track KPIs & process improvements: Collaborate with department heads to review operational KPIs, assist in updating company SOPs, and support ongoing process improvement initiatives.
Manage executive communications & logistics: Oversee C-suite correspondence, organize critical documentation with strict confidentiality, and manage complex executive travel and scheduling logistics.
Bachelor’s Degree in Business Administration, Management, or a related field.
Minimum 3 to 5 years of solid experience in Executive Support, Business Operations, or Project Coordination (experience within a manufacturing, recycling, or industrial plant environment is an advantage).
Excellent command of written and spoken English; professional fluency in Mandarin is a strong advantage to facilitate regional stakeholder liaison.
Exceptional stakeholder management, business acumen, and interpersonal skills to engage effectively across factory and corporate leadership.
High level of proficiency in Microsoft 365 applications (Word, Excel, PowerPoint, Teams, and SharePoint).
Proactive, highly organized, and structured approach with a strong track record of driving cross-departmental accountability.
