Job summary

Ads On Marketing Sdn Bhd is seeking an organized Events Coordinator to assist in planning, liaise with vendors, and coordinate site visits and rehearsals for successful events in Selangor, Malaysia. The role requires coordinating timelines, materials, and logistics while ensuring on-time delivery and smooth on-site execution.

The candidate should be able to manage registrations, supervise crews, and handle last-minute issues. Fresh graduates are welcome; training will be provided.

Qualifications

• Degree in Event Management, Marketing, Business, Hospitality, or related field.
• Fresh graduates are encouraged to apply (training will be provided).
• 1–3 years of relevant event or coordination experience will be an added advantage.
• Able to prepare proposals, quotations, and simple presentations (PowerPoint/Google Slides/Canva).
• Good in sourcing vendors, comparing prices, and basic negotiation.
• Organized, detail-oriented, and able to multitask.
• Able to work under pressure and meet tight deadlines.
• Willing to work overtime or weekends when events require.
• Proficient in Microsoft Office / Google Workspace.

Responsibilities

• Assist in event setup planning and timeline coordination.
• Liaise with vendors, suppliers, venue management, and crews.
• Prepare event materials, props, equipment, and logistics checklist.
• Site visit and rehearsal coordination.
• Coordinate with suppliers for delivery, setup, and teardown.
• Ensure all equipment, staging, backdrop, PA system, and props arrive on time.
• Oversee event setup according to layout plan.
• Manage registration counter / guest flow / crowd control.
• Handle on-ground troubleshooting and last-minute issues.
• Ensure event runs according to timeline.
• Brief part-timers, crew, and helpers before event.
• Assign roles and supervise manpower during event.
• Ensure SOP and safety rules are followed.
• Assist client on-site requirements.
• Coordinate VIP / guest management if needed.
• Handle enquiries and provide support during event.
• Supervise teardown and ensure venue handover condition.
• Check and return event equipment.
• Prepare post-event report and inventory checklist.
• Prepare event checklist, layout plan, and operation flow.
• Record issues and improvement points for future events.
• Maintain proper documentation for each project.
