SOFTPILLOW MOLLYCODDLE & CO SDN. BHD. is seeking an on-site Events Coordinator to manage planning, coordination and execution from briefs through to delivery.
You will work with creative and production teams, translate briefs into tasks, maintain schedules and liaise with venues and suppliers. The ideal candidate has 1–2 years in events or related fields, strong organizational skills, and excellent English and Bahasa Malaysia communication.
You'll support events from planning through to execution, coordinating suppliers, timelines, logistics and on-site operations. Working closely with our creative and production teams, you'll take ownership of assigned tasks, flag issues early and ensure nothing gets lost between the brief and the show.
Key responsibilities
Translate event briefs into task lists, timelines and logistical requirements.
Maintain project schedules, checklists, meeting notes and progress updates.
Research venues, suppliers, entertainment and activation ideas.
Support proposals, presentations and event programme planning.
Source quotations and compare supplier pricing, scope and deliverables.
Coordinate bookings, production deadlines, deliveries and collection arrangements.
Maintain cost trackers and organise quotations, invoices and supporting documents.
Flag changes in scope or costs for approval before commitments are made.
Coordinate with clients, partners and internal teams on assigned project matters.
Track feedback, approvals and outstanding items, following up to keep work moving.
About you
Ideally 1-2 years of experience in events, activations, hospitality or project coordination. Strong fresh graduates with relevant hands-on experience are welcome.
Strong organisation and attention to detail, with the ability to manage several tasks and deadlines.
Clear communication skills in English and Bahasa Malaysia.
Confidence dealing with suppliers, crew and clients professionally.
Comfortable using Google Workspace, presentations and shared project tools.
Must possess a valid driving licence and own a car for travel to meetings, site visits and event venues.
Willingness to work on-site, travel and accommodate evening or weekend event schedules when required.
A resourceful mindset: you follow through, ask when unsure and raise problems before they become surprises.
