Job summary

Coherent Corp. is seeking a Vendor Master Data Specialist in Penang, Malaysia. The role involves creating and maintaining vendor master data across ERP systems, ensuring data consistency, and validating onboarding documents in line with company policy.

You will liaise with procurement, AP, legal, tax, and business requesters to resolve issues, support audits, and maintain standard operating procedures. A diploma or degree in accounting with 2–3 years of relevant experience is preferred.

Qualifications

• Diploma / Degree in Accounting with 2-3 years working experience in vendor master maintenance job.
• Able to work under minimum supervision & meet deadlines.
• Good in English speaking and writing.
• Strong attention to detail and data accuracy.
• Understanding of compliance and audit requirements.
• Excellent written and verbal communication skills.

Responsibilities

• Create new vendor records in ERP systems.
• Maintain and update vendor master data.
• Ensure vendor data consistency across systems and modules.
• Review and validate vendor onboarding documents, such as: Business registration / certificates, Tax identification (WHT, SST, VAT, GST, etc.), Bank confirmation letters or voided checks, Vendor request / onboarding forms.
• Perform validation and accuracy checks before setup per company policy.
• Liaise with procurement, AP, legal, tax, and business requesters.
• Communicate issues, rejections, or missing documents clearly and professionally.
• Support audit requests (internal and external) related to vendor master data.
• Maintain vendors master SOPs and control documentation.
• Perform vendor verification audit.
