Job summary

Qualitas Medical Group Sdn Bhd is looking for a Clinic Assistant to greet patients, register them, and maintain an orderly reception while supporting doctors during consultations. You will handle patient data in IQRIS, assist with treatment, and ensure safety in procedures and lab sample handling.

The role requires a healthcare certificate/diploma or SPM/STPM, strong customer service, and computer literacy. Clinic experience is an advantage; on-site work in Malaysia is assumed.

Qualifications

• Possess at least a Certificate/Diploma in Healthcare/Nursing for a Senior Clinic Assistant or minimum SPM/STPM for a Clinic Assistant.
• Excellent customer service and interpersonal skills
• Must be computer literate.
• Candidate with clinical and customer service experience will be an advantage

Responsibilities

• Greeting patients and attending to them as soon as they come into the clinic and handling patients with utmost care and importance
• Ensuring patients cards or treatment chit are prepared correctly according to SOP
• Registering patients at the counter with utmost care and good customer service
• Keeping the registration counter neat and tidy while maintaining clinic’s image
• Filing and retrieving of patient cards ensuring filing system is followed and maintained for easy retrieval to minimize filing errors and misplaced/missing cards
• Keying registered patients’ visit into the IQRIS system with minimum error for accurate data and minimal error
• Answering the telephone and providing accurate information to the caller
• Clinical Duties and Assisting Doctors
• Assisting the doctor while he is giving treatment and ensuring consultation and treatment are given smoothly to meet patient’s satisfaction
• Assisting the patients for doctors examination by ensuring patient feels comfortable in the room
• Ushering in patients into the consultation or treatment room with concern and welcome feeling
• Keeping the doctor’s room tidy and neat for consultation - cleaning it up if necessary, to ensure the environment looks pleasant for the patients
• Chaperoning doctors, especially for female patients and ensuring sensitive issues are handled correctly
• Handling specimen for lab testing according to procedures with safety measures taken without slip-ups
• Filing lab test report or hospital reports into patients file/card correctly and without any slip-ups after doctor review the lab report
• Preparing for lab test reports by ensuring forms are filed correctly and specimens are sent out with proper identification
• Treatment Duties
• Preparing medical instruments for sterilization and handling after sterilization in accordance to safety precautions and abiding to safety rules
• Handling medical equipment such as ECG, Ultrasound or X-ray with proper techniques and professionalism, ensuring safety precautions are taken always
• Ensuring sufficient supply of gauze, cotton and other medical consumable for clinic usage when needed, that medical supplies are available at all times
• Destroying used syringes and needles before disposal when necessary, ensuring safety measure taken during disposal
• Assisting doctors during minor surgery and giving treatment when necessary, ensuring patient’s welfare is always upheld
• Coordinate medical checkup for patients by ensuring patients are comfortable throughout the process
• Doing dressing for patients as and when required by ensuring proper technique is used
• Dispensing Duties
• Dispensing drugs as prescribed by the doctors with the right drugs and dosage given out with correct instruction on dosage, duration and methods clearly stated
• Inquiring from the patients regarding allergies to medicines, ensuring allergic medicines are not dispensed
• Preparing and labeling plastic bottles for medicines/mixtures with proper bottles
• Pouring medicines/mixtures into smaller bottles, ensuring medicines are available at all times without wasting time
• Keying in drugs prescribed into CMS for records and for charges
• Ensuring sufficient bottles, cream and pill containers in the dispensary, that stocks are available at all times
• Issuing receipts, M/Cs and cash chit when necessary and correctly issued with copies stored for further use
• Collecting cash on behalf of the clinic that cash transactions are recorded and done correctly
• Others
• Support and perform any other tasks as and when assigned by the immediate supervisor or Management by Performing the task to the best of one’s ability as and when required
