Branch-Oriented Senior Clinic Assistant cum Admin
The Senior Clinic Assistant cum Admin is responsible for overseeing daily clinic flow, operational efficiency, and sales performance at the branch level. This role works closely with the Marketing Manager to communicate customer feedback, identify improvement areas, and support continuous service enhancement to drive clinic growth.
Key Responsibilities
1. Clinic Operations & Patient Flow
- Oversee and ensure smooth daily clinic operations.
- Supervise front desk, registration, billing, and appointment scheduling.
- Manage patient flow to minimize waiting time and improve patient experience.
- Ensure SOPs, compliance, and service standards are strictly followed.
- Handle operational issues and resolve patient concerns professionally.
2. Administrative Management
- Manage daily reports, claims, documentation, and internal records.
- Monitor stock, medical supplies, and administrative inventory.
- Liaise with HQ on submissions, claims, reports, and audit requirements.
- Ensure all data is accurately entered into the clinic system.
3. Sales Performance & Target Support
- Monitor daily, weekly, and monthly sales performance of the branch.
- Support doctors and counter staff in promoting health screening packages, vaccinations, and add-on services.
- Actively participate in achieving branch sales targets.
- Identify upselling opportunities ethically and professionally.
4. Marketing Coordination & Feedback Reporting
Work closely with the Marketing Manager on:
- Promotional campaign performance
- Public response to packages and services
Provide frontline feedback for:
- Service improvements
- Pricing strategy
- Promotional effectiveness
Assist in the implementation of marketing campaigns at branch level.
5. Staff Supervision & Training
- Guide, train, and supervise junior clinic assistants.
- Ensure staff discipline, grooming, attendance, and performance standards.
- Act as the key person-in-charge (PIC) when management is not onsite.
6. Continuous Improvement & Problem Solving
- Identify operational weaknesses and propose improvement solutions.
- Support time-to-time process optimization to improve efficiency and patient satisfaction.
- Maintain high service quality and brand reputation of the company.
Job Requirements
- Diploma / Degree in Healthcare Management, Business Administration, or related field.
- Minimum 2–4 years experience in clinics, healthcare operations, or administration.
- Strong leadership and people management skills.
- Excellent communication skills (English & Bahasa Malaysia; Mandarin is an advantage).
- Good sales awareness and customer service mindset.
- Able to multitask, work under pressure, and handle conflicts professionally.
- Proficient in basic computer systems (Clinic System, Excel, WhatsApp Business, etc.).
