The Associate Product Owner supports the Product Management function by ensuring product requests, requirements, documentation, and knowledge assets are effectively managed throughout the product lifecycle.
Working closely with Product Owners, Business Stakeholders, Development Teams, QA Teams, and Operational Departments, the Associate Product Owner helps maintain a healthy product backlog, prepares requirements for delivery teams, coordinates release documentation, and serves as a first point of contact for product-related inquiries.
This role is intended as a growth path toward becoming a fully accountable Product Owner.
What You’ll Be Doing
- 1. Product Intake & Demand Management
- Review and validate incoming feature requests and enhancement requests.
- Ensure requests contain sufficient business context and supporting information.
- Follow up with stakeholders to gather missing requirements.
- Assist in triaging and categorizing incoming requests.
- Maintain product request tracking and reporting.
- Support Product Owners in managing demand pipelines and product backlogs.
- Gather, document, and analyze business requirements.
- Facilitate requirement clarification sessions with stakeholders.
- Create and maintain: User Stories, Acceptance Criteria, Business Requirements, Process Flows & Functional Specifications.
- Identify dependencies, assumptions, risks, and open questions.
- Collaborate with Development and QA teams to ensure requirement clarity.
- Prepare backlog items for refinement sessions.
- Ensure backlog items meet readiness standards before prioritization.
- Update Jira tickets and maintain backlog hygiene.
- Track requirement changes and ensure traceability.
- Monitor delivery progress and update stakeholders when required.
- 4. Documentation & Knowledge Management
- Own and maintain product documentation including: Product Guides, User Manuals, Operational Procedures, Knowledge Base Articles, Frequently Asked Questions (FAQ), Product Release Documentation & Process Documentation.
- Ensure documentation remains accurate and reflects current product functionality.
- 5. Release Management Support
- Prepare and publish release notes.
- Gather release content from Product Owners, Developers, and QA teams.
- Coordinate release communication activities.
- Update supporting documentation after releases.
- Assist with internal product training and release awareness sessions.
- 6. Product Support & SME Development
- Act as the first-line Product Operations contact by:
- Responding to general product-related queries.
- Providing guidance on existing product functionality.
- Supporting business users with product information.
- Maintaining product knowledge repositories.
- Escalating complex issues and product decisions to Product Owners.
- Develop and maintain subject matter expertise across assigned product areas.
- 7. Stakeholder Coordination
- Schedule and coordinate workshops and requirement sessions.
- Capture meeting notes and action items.
- Track stakeholder approvals and sign-offs.
- Support User Acceptance Testing (UAT) coordination activities.
- Facilitate communication between business and delivery teams.
- Identify opportunities to improve product processes and workflows.
- Recommend improvements to documentation standards.
- Support Product Owners in establishing repeatable product management practices.
- Contribute to standardization of requirement templates and governance processes.
What We’re Looking For
- Bachelor's Degree in Business, Information Technology, Computer Science, Engineering, or related discipline
- 1-3 years of experience in: Product Management, Business Analysis, Project Coordination, Product Operations, and Software Delivery.
- Experience in Agile environments is preferred
- Product Management: Understanding of Product Ownership concepts, User Story writing, Acceptance Criteria creation, Product Backlog management & Requirement elicitation and analysis
- Agile & Scrum: Understanding of Agile principles, Understanding of Scrum framework, Familiarity with Sprint ceremonies & Familiarity with backlog refinement
- Tools: Jira, Confluence, Microsoft Office Suite, Visio, Lucidchart, Draw.io, or equivalent process mapping tools
- Preferred Skills (Nice to Have)
- PSPO I (Professional Scrum Product Owner I)
- PSM I
- CBAP, ECBA, or equivalent BA certification
- Experience working with cross-functional software delivery teams
- Experience in Digital Products, SaaS, FinTech, Payments, or Platform Products
