Commerce.Asia in Malaysia seeks a capable AI Program Manager to map business workflows, build AI agents, and lead AI initiatives across departments. You will coordinate vendors, tech teams, and stakeholders, prioritizing impact, cost and data security while delivering measurable efficiency gains.
The role requires hands-on AI tooling experience and strong communication in English and Bahasa Malaysia. You will drive project plans, budgets and adoption, while ensuring governance and documentation
Meet department heads and teams (Key Account Management, Operations, Customer Service, Marketing, Finance, HR, Sales) to map workflows and find repetitive, manual tasks that AI or automation could take over.
Write clear use-case briefs: the problem, current process, expected benefit (hours saved, error rate, turnaround time) and owner.
Own the company's AI roadmap and project backlog, and set priorities with leadership based on impact, effort and cost.
Design and build AI agents that complete multi-step tasks across our systems, such as order handling, customer service replies, marketplace reporting and finance reconciliation.
Connect agents to our tools and data through APIs and automation platforms (e.g. n8n, Make, Zapier), with clear human review points for sensitive actions.
Test, monitor and improve agent performance, including accuracy, cost and failure handling.
Decide when to build in-house versus buy from a vendor.
Be the main point of contact for AI vendors and the internal tech team across all AI initiatives.
Translate business needs into requirements tech can build, and translate technical updates back into plain language for stakeholders.
Lead vendor sourcing and evaluation, compare options on cost, fit, data security and support, and make recommendations to management.
Manage vendor relationships, deliverables, SLAs and contract milestones, and resolve issues before they affect operations.
Set project timelines, milestones and owners, and agree them with all parties.
Run kick-offs, weekly check-ins and status updates; keep meeting notes and action items.
Manage risks, dependencies and blockers, and elevate to management when needed.
Coordinate user testing (UAT) with the department before anything goes live.
Manage AI project budgets and track spend against expected returns.
Lead change management: prepare SOPs, guides and training sessions so teams adopt new tools in their daily work.
Collect feedback and usage data, and log bugs or improvement requests with vendors or tech.
Report results against the original goals (e.g. time saved, cost reduced, SLA improved).
Keep project documentation, decision logs and a register of AI tools in use.
Develop and enforce guidelines so AI tools follow company policy on data privacy (including Malaysia's PDPA), access and approved usage.
Set guardrails for AI agents, including access permissions, approval steps and audit logs.
Present a monthly AI progress update to management and the Group CEO.
Degree in Business, IT, Information Systems, E-commerce or a related field, or equivalent experience.
1-2 years in e-commerce, digital operations, digital transformation, business analysis or project management, including at least 2 years leading cross-functional projects or managing external vendors.
Proven track record of delivering technology or automation projects from scoping through rollout and adoption, ideally involving AI.
Hands-on experience using AI tools such as ChatGPT, Claude, Copilot or Gemini in daily work, and a practical view of what they can and can't do.
Hands-on experience building AI agents or LLM-powered workflows, using tools like n8n, Make or LangChain, or LLM APIs such as OpenAI or Claude.
Working understanding of APIs, webhooks and data flows between systems.
Clear communicator in English and Bahasa Malaysia (Mandarin is a plus), comfortable working with technical teams and presenting to senior leadership.
Strong stakeholder management; able to run several projects in parallel and hold vendors and teams accountable to deadlines.
Confident with project tools (e.g. Jira, Asana, ClickUp, Trello) and Google Workspace or Microsoft 365.
