Are you an experienced Executive Assistant or Administrative Professional who has supported Directors, General Managers, Vice Presidents, or Regional Leaders in a multinational environment?
We are looking for a highly organized, proactive, and detail-oriented Administrative Assistant to provide business, operational, and executive support to senior leadership across Asia. This opportunity is ideal for candidates coming from established MNC environments such as Oil & Gas, FinTech, Technology, Engineering, Professional Services, Telecommunications, or Shared Services.
This role offers regional exposure, interaction with senior stakeholders, and involvement in business operations, travel management, event coordination, finance administration, and strategic team support.
Manage complex calendars and scheduling for senior leaders
Coordinate international and domestic travel arrangements, including flights, hotels, ground transportation, and visa applications
Prepare meeting materials, travel itineraries, and executive briefings
Process expense claims and reimbursements in accordance with company policies
Coordinate leadership meetings and business reviews
Support leadership teams across multiple countries in Asia
Coordinate team meetings, offsites, executive visits, and engagement events
Manage logistics including venue sourcing, catering, meeting rooms, and vendors
Maintain team distribution lists, SharePoint sites, and collaboration platforms
Follow up on projects, action items, and business requests
Assist with purchase orders, invoices, vendor coordination, and budget tracking
Support expenditure monitoring and financial reporting activities
Ensure procurement and spending activities comply with company policies
Support regional initiatives, programs, and business priorities
Prepare reports, presentations, trackers, and meeting minutes
Coordinate with stakeholders across different functions and countries
Maintain accurate project and operational documentation
Minimum 5 years of Administrative Assistant, Executive Assistant, Personal Assistant, or Business Support experience
Proven experience supporting senior leadership (Director level and above)
Experience working within a multinational corporation (MNC)
Strong experience coordinating international travel arrangements and visa applications
Experience managing executive calendars, meetings, and stakeholder communications
Advanced proficiency in Microsoft Office 365 (Outlook, Teams, Excel, PowerPoint, Word)
Excellent written and spoken English communication skills
Strong organizational skills with the ability to manage multiple priorities
Comfortable working in a 12-month contract position
