The Operations & HR Administrator manages daily plant workflows, coordinates logistics, and handles core human resources functions. This hybrid role requires a strong organizational background to manage corporate bookings and serve as the company's primary liaison with key Malaysian government authorities (including MIDA) to ensure total operational, tax, and regulatory compliance.
Key responsibilitiesLiaise with MIDA regarding manufacturing licenses, tax incentives (such as Pioneer Status or Investment Tax Allowances), and status updates
Act as the primary contact to secure, renew, and maintain licenses and permits with DOSH (JKKP), DOE (JAS), and Royal Malaysian Customs (including import/export exemptions)
Liaise with MBPG for local council permits, TNB for power supply matters, and IRDA for regional industrial development alignment
Coordinate annual plant inspections, fire safety audits, and certification renewals with BOMBA
Manage corporate travel arrangements, including flight bookings, hotel reservations, visa applications, and transport ticketing for management and staff
Prepare shipping documents, manage Bills of Lading, and monitor inbound/outbound chemical shipments
Track plant supplies, raw material documentation, and Personal Protective Equipment (PPE) stock levels
Manage shift rotations, track attendance, and log overtime for production staff
Schedule mandatory chemical safety training and maintain safety competency records for DOSH audits
Conduct new hire orientations, manage personnel files, and process monthly payroll timecards
About you3–5 years of experience in a manufacturing environment, explicitly handling HR & administration, and government liaison roles in Malaysia
Proven track record dealing with Malaysian agencies like MIDA, DOSH, DOE, BOMBA, and Customs
Proficiency in ERP systems (SQL), workforce management software, and corporate travel booking platforms
Excellent diplomacy, negotiation, and multilingual communication skills (Bahasa Malaysia and English) to build strong relationships with government officers
Diploma & above in any discipline, but preferable if candidates have experience in accounting or preferred fresh graduates from Business Management
