Job summary

PPG in Malaysia is seeking an AP Officer to ensure timely invoice approvals and payments, maintain the accounts payable system, and resolve complex issues while upholding policies.

You will report to the AP Supervisor based in UOA Shah Alam, with hybrid work options (in-office Mon-Thu, remote on Fridays). Must have degree in accounting/finance and 1–2 years’ AP experience, plus proficiency in Bahasa Malaysia, English, and Mandarin.

Qualifications

• Minimum Degree in Accounting/Finance.
• 1–2 years of experience in Accounts Payable or related accounting field.
• Proficiency in Bahasa Malaysia, English and Mandarin (verbal and written).
• Experience with Oracle, SAP S4 Hana, COGNOS, Abby Flexicapture is an advantage.
• Microsoft Office with intermediate Excel, PowerPoint and Power BI knowledge.

Responsibilities

• Process invoices and payments for assigned locations.
• Invoice indexing verification in OCR tool (Flexicapture).
• Research and resolve invoice discrepancies and issues (on hold, parked >90 days).
• Review aged GRNI and follow up for APAC locations (no aged GRNI >6 months).
• Identify process improvements and implement actions.
• Communicate with internal/external parties and respond to inquiries.
• Reconcile unapplied pre-payments in supplier accounts.
• Assist with month-end closing and monthly reports (supplier reconciliations, AP details).
• Support annual audits and provide information to auditors.
• Participate in ad-hoc projects and implement findings.

Job description

As an AP Officer, your main responsibility will be to ensure all invoices are approved appropriately and paid on time, maintain the accounts payable system, and resolves complex issues as and when necessary while ensuring adherence to policies and procedures. You will be reporting to the AP Supervisor, based in UOA Shah Alam.

Main Responsibilities

• Process invoices and payments for assigned locations
• Invoice indexing verification in OCR tool (Flexicapture)
• To research and resolve invoice discrepancies and issues (identify, communicate and facilitate resolution) including invoice on hold, parked invoices >90 days old
• Work with various cross-team stakeholders and review aged GRNI (goods received not invoiced) and perform timely follow up for all in-scope APAC locations; zero aged GRNI>6 months old
• Identify process improvement opportunities and implement related actions
• Correspond with internal and external parties and respond to inquiries
• Reconcile unapplied pre-payment in supplier account to ensure no long outstanding item
• Assist with month end closing and produce monthly reports i.e., Supplier Reconciliations, AP Payment Details and other ad-hoc reports
• To involve in yearly audit and providing any required information from Internal and External auditors
• Participate in ad-hoc projects, support the implementation of findings and sustainability of achievements

Qualifications

• Minimum Degree in Accounting/Finance
• At least 1-2 years of experience in Accounts Payable or related accounting field
• Good interpersonal, communication skills with proficiency in Bahasa Malaysia, English and Mandarin (both verbal and written)
• Accounting/ERP system experience – Oracle, SAP S4 Hana, COGNOS, Abby Flexicapture would be of added advantange
• Microsoft Office experience; possessed sound intermediate Excel, PowerPoint, Power BI knowledge
• Able to work with minimum supervision
• Organized, detailed, commits to deadlines with good analytical skills and ability to work under pressure
