Finance Operations Manager / Assistant Manager
About the Role
We are seeking experienced Finance Operations professionals to join our growing finance team in Kuala Lumpur. We are open to candidates at Manager and Assistant Manager level, depending on experience and leadership exposure.
The role will be responsible for overseeing and supporting day-to-day transactional and operational finance activities within a shared services / high-volume finance environment. You will play an important role in ensuring accurate and timely service delivery, strong internal controls, process standardisation and continuous improvement across key finance operations.
Key areas include Accounts Payable (AP), Travel & Expense (T&E), Intercompany Accounting, Fixed Asset Accounting, Lease Accounting, Bank Reconciliation and Finance Query Management.
Key Responsibilities
Finance Operations Management
- Manage / support day-to-day Finance Operations activities and coordinate team execution.
- Ensure processes are completed accurately, efficiently and in accordance with established policies and procedures.
- Monitor operational performance, productivity, service quality and stakeholder satisfaction.
- Track SLAs and KPIs, identify performance gaps and elevate operational risks where required.
- Support issue resolution, escalation management and operational governance.
- Oversee / coordinate finance-related master data maintenance and ensure timely and accurate updates.
Accounts Payable – End-to-End
- Oversee / support invoice receipt, validation, processing, payment support and vendor account maintenance.
- Ensure timely processing of invoices and supplier payments.
- Coordinate payment runs and manage payment exceptions in accordance with established controls.
- Monitor AP ageing, blocked invoices and overdue payments.
- Partner with Procurement and Business Units to resolve invoice matching and payment-related issues.
- Ensure compliance with tax, procurement and financial control requirements.
Travel & Expense
- Oversee / support employee expense claims and reimbursement processes.
- Ensure compliance with corporate travel and expense policies.
- Manage / support corporate credit card administration and reconciliations.
- Monitor processing turnaround times and policy exceptions.
- Promote employee awareness and adherence to expense policies.
Intercompany Accounting
- Manage / support monthly and quarterly intercompany reconciliation and settlement activities.
- Ensure timely confirmation and resolution of intercompany mismatches.
- Work with relevant finance teams to clear aged balances and outstanding items.
- Support intercompany agreement governance and transfer pricing requirements.
- Support accurate reporting and elimination activities during month-end close.
Fixed Asset Accounting
- Oversee / support asset capitalisation, transfers, disposals and depreciation activities.
- Ensure accuracy and completeness of fixed asset registers.
- Coordinate periodic asset verification exercises.
- Support capital expenditure governance and reporting.
- Ensure compliance with applicable accounting standards and company policies.
Lease Accounting
- Manage / support lease accounting activities in accordance with IFRS 16 / MFRS 16.
- Maintain lease schedules and accounting records.
- Ensure completeness and accuracy of lease data.
- Review lease modifications and reassessments.
- Support month-end, quarter-end and year-end reporting activities.
- Oversee / perform daily, weekly and monthly bank reconciliation activities.
- Review bank transactions against general ledger records.
- Investigate and resolve reconciliation differences and outstanding items.
- Liaise with internal stakeholders and banking partners to clear unreconciled transactions.
- Ensure reconciliation activities comply with SOPs and internal controls.
- Maintain effective internal controls and segregation of duties.
- Ensure readiness for internal and external audits.
- Identify operational risks and implement appropriate mitigation measures.
- Ensure compliance with company policies, accounting standards and regulatory requirements.
- Support SOX and internal control testing where applicable.
- Drive / support automation, standardisation and process simplification initiatives.
- Leverage ERP systems, workflow tools and digital solutions to improve operational efficiency.
- Conduct root cause analysis and implement corrective actions.
- Support finance migration, transition and transformation projects.
People Coordination & Team Support
- Coordinate, guide and support finance operations team members in daily activities.
- Provide guidance on work allocation, workload management and operational priorities.
- Support performance discussions, coaching and development planning.
- Promote cross-training, knowledge sharing and capability development.
- Foster a collaborative, service-oriented and customer-focused team environment.
Requirements
- Bachelor's Degree in Accounting, Finance or a related discipline.
- 5–10 years of relevant experience in finance operations, transactional finance, accounting operations or shared services environments, depending on level.
- Experience in high-volume finance operations and service delivery.
- Strong knowledge of finance operations processes, particularly AP, T&E, Intercompany, Fixed Assets, Lease Accounting and Bank Reconciliation.
- Experience in team coordination, work allocation and operational performance management.
- Prior supervisory or people management experience is preferred, particularly for the Manager position.
- Good command of English. Proficiency in Cantonese with the ability to read Chinese.
- Experience working with ERP systems such as Oracle, Coupa, Workday, OneStream or equivalent.
- Strong stakeholder management, problem-solving and communication skills.
- Demonstrated ability to identify process gaps and drive continuous improvement.
