Job summary

Visit.org is seeking an experienced Freelance Event Specialist to manage logistics for in-person events in Veracruz, Mexico. The role requires strong English and customer service skills, and the candidate must be based in Veracruz.

You will coordinate all event details, oversee on-site setup and teardown, and ensure a high-quality guest experience. The position is per-event contract with flexibility to travel within the local region, including nights and weekends, and potential for recurring

Qualifications

• Fluency in English and strong communication skills.
• Based in Veracruz, Mexico.
• Schedule flexibility with availability to work on a per-event contract basis.
• Experience in complex, large-scale events and smaller executive-level events.
• Experience with group facilitation and managing group dynamics.
• Willing to travel within the local region.
• Ability to work flexible hours, including nights and weekends.
• Comfort being present and interacting with large crowds.
• Physical ability to lift up to 30 lbs and stand for extended periods.

Responsibilities

• Coordinate all event details, shipping materials, and staffing; be on-site for day-of events.
• Join virtual planning meetings ahead of each event with all parties.
• Set up on-site, align with the team, tear down, and ensure a high-quality customer experience.
• Act as Visit.org representative, leader, and problem-solver at events.
• Manage check-in process and provide a warm, friendly welcome to guests.
• Escalate issues to Events Team when necessary.
• Send updates, photos, and videos to Events Team during events.
• Breakdown after events and ship materials back to the distribution center.
• Pack supplies and prepare shipping labels.
