Your role at Vantive
The IT Collaboration Lead will be a key player in fostering a collaborative and connected work environment. This role requires a deep understanding of collaboration technologies and the ability to work closely with cross-functional teams to ensure solutions aligned with business needs and ensuring their effective utilization. You will be the go-to person for all things related to collaboration within the IT department and potentially across the entire organization.
What you'll be doing
- Working as an active lead during segregation and separation of applications under Collaboration.
- Support and planning for detailed ongoing requirements for Microsoft 365 implementation.
- Provide expert technical support for collaboration systems, troubleshooting issues and resolving incidents escalated by junior team members.
- Support workspace solutions, including all meeting solutions such as meeting rooms and large event rooms (virtual and physical).
- Manage and optimize the organization's collaboration tools, including but not limited to: Microsoft Teams/SharePoint, Zoom, Jira.
- Ensure proper configuration, security, and user access to collaboration tools.
- Troubleshoot and resolve technical issues related to collaboration tools.
- Provide training and support to end-users on the effective use of collaboration tools.
- Develop and deliver training programs on best practices for collaboration.
- Serve as a point of contact for collaboration-related questions and issues.
- Stay up-to-date with the latest trends and technologies in the field of IT collaboration.
- Accountable on supporting & monitoring email system; performs quality and spot checks of system performance.
- May participate in or manage quality assessments of internal operations and suppliers to analyze compliance and assess risk.
- Learn, understand and apply rigorous quality standards, Standard Operating Procedures (SOPs) and Current Good Manufacturing Practices (cGMP).
- Act as critical issue point when required for the coordination with GIT, functional groups and outside vendors/contractors of the troubleshooting and resolution of sophisticated issues.
- Working with Messaging & Collaboration Engineers that provide technical expertise and recommendations for configuration management and IT applications in response to projects and business needs.
- Understands Identity management for multiple applications and sub-systems in relationship to user provisioning and de-provisioning processes.
What you'll bring
- Bachelor's degree in computer science or equivalent experience.
- 6+ years of IT infrastructure management experience.
- Deep understanding of collaboration technologies, including video conferencing (Microsoft Teams, Zoom, Webex), unified communications (e.g., Microsoft Exchange, instant messaging (e.g., Slack, Microsoft Teams), and content sharing platforms (SharePoint, OneDrive).
- Test and deploy new Microsoft 365 policies, applications, and features to keep our systems up-to-date and secure.
- Manage the equipment in our physical conference rooms.
- Incident, Service Request, and Problem Management using ITIL framework (ServiceNow).
- Ensure that different platforms and devices can work together smoothly, allowing users to join meetings regardless of the platform used.
- Managing and maintaining all the devices in your meeting rooms, whether they are Teams Rooms, Zoom Rooms, or Cisco/Poly devices.
- Prioritize a user-friendly experience, ensuring that meetings are easy to join, content sharing is seamless, and audio/video quality is high.
- Implement robust security measures to protect sensitive information during meetings.
- Ensure that the meeting room solutions integrate well with other tools used in your organization, such as email, calendar, and project management software.
- Microsoft Exchange Online, Exchange Online Protection, Data Loss Protection (DLP) and DMARC Management & SMTP Mail Relays.
- Cisco ESA/SMA and Proofpoint (desirable).
- Identify and recommend technology best practices in the currently evolving environment & help stabilize the environment by applying industry standard best practices.
- Provide adequate training and support to users on how to use the meeting room solutions effectively.
- Knowledgeable of hardware and software solutions.
- Availability for off-hour calls and systems work.
- Must be a collaborator, possess outstanding customer service skills and be self-motivated.
- Acts with a sense of urgency, illustrates ambition and drives for completion of tasks and projects.
- Must be able to initiate and develop creative solutions that are cost effective and supportable.
- Excellent interpersonal and verbal/written communication skills.
- Strategic thinking and the ability to align IT initiatives with business goals.
