Senior Legal Assistant

We are a U.S.-based law firm seeking a highly organized, detail-orientedSenior Legal Assistantto join our remote team. The ideal candidate will have strong experience in civil litigation support, court filing, calendaring, and case management software. This role is essential to ensuring smooth operations across all legal and administrative workflows.
Key Responsibilities
Case Management
- Open new cases and manage client files usingClio
- Prepare and send contingency and retainer agreements viaAdobe Sign
- Draft and file legal documents including:
- Fee waivers*
- Complaints and summons*
- Civil case cover sheets*
- Additional required court documents
- Attach relevant documents and maintain up-to-date records in Clio
Court Filing
- Electronically file documents withSuperior, Federal, and Appellate Courts
- Track filing status and confirm court acceptance
- Update Clio with filed documents
Service of Process
- Coordinate service requests with third-party providers
- Track service completion and file Notices of Acknowledgment when applicable
Drafting and E-serving Legal Documents
- Draft and/or e-serve documents such as:
- Motions, Jury Instructions*, Deposition Notices*, Letters of Representation*,
- Summary of Events*, 998 Offers*, Case Management Conference (CMC) Statements*,
- Requests for Dismissal*, and Proofs of Electronic Service
Right-to-Sue Letters
- Submit intakes forDFEHandEEOCRight-to-Sue letters
Calendaring and Scheduling
- Maintain accurate calendar of:
- Hearings, CMCs, MSCs, client calls, mediations, arbitrations, and depositions
- Link calendar events to Clio and send reminders to clients
- Coordinate remote appearances viaCourtCall,Zoom, orTeams
- Sync events to the firm’s master calendar
Email Management
- Monitor inbox and forward messages to the correct attorney or team
Billing and Expenses
- Track legal expenses (e.g., One Legal, process servers, court fees)
- Input expenses and create invoices in Clio
- Process court refunds and payment updates
Cross-Team Coordination
- Communicate effectively with legal, billing, and admin teams
- Flag urgent client or case issues to attorneys or managers
Other Tasks
- Request and manage police reports when applicable
Qualifications
- Minimum 3 years of experience as aLegal AssistantorParalegalin civil litigation
- Proficient inClio, Adobe Acrobat, and court e-filing systems
- Strong English communication skills (written and verbal)
- Highly organized, self-motivated, and reliable
- Comfortable working independently in a remote environment
