SUMMARY
The Reservation Agents assure prompt, courteous, and efficient processing at room related reservation data. They coordinate associated information with other departments in such a way that ensures accurate billing, appropriate VIP treatment, excellent tour operator relations, and ultimately a high level of guest satisfaction. Regular attendance is an essential function of the job. PIC cannot accommodate unpredictable or sporadic absenteeism, unless it is covered by federal/state law.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Informs prospective guests, travel agents, and tour operators of room rates availability and overall resort facilities.
- Maintains accurate information concerning PIC events and recreational options, and other special services available to the guest.
- Ensures and maintains the cleanliness and upkeep of PIC property (picking up loose trash, material and debris and disposing of it in appropriate trash receptacles provided).
- Accepts and confirms (or denies) individual reservations/group bookings according to availability in a timely manner.
- Processes reservations via telephone, mail, and fax assuring appropriate information has been received and is inputted in an accurate and efficient manner.
- Processes allocation room blocks via faxed and hand delivered tour operator rooming lists assuring accurate, efficient, and timely input into the computer system.
- Processes reservation confirmations and advance deposit request forms.
- Maintains office filing system in a reliable and proficient manner assuring easy access to reservations information at any given time.
- Prepares and processes VIP lists, special amenities requests, and other special guest needs to appropriate departments.
- Edits daily arrival lists to ensure proper information is being applied.
- Coordinates with Front Desk, Housekeeping, Guest Services, and other departments to ensure guest arrivals, assignment of rooms and any special requirements are handled smoothly.
- Communicates to other PIC properties and the Japanese PIC offices whenever applicable.
- Gives assistance to resort guests and visitors whenever needed.
- Maintains a neat and orderly work area at all times.
- Performs all other duties that may be assigned.
SKILLS & QUALIFICATIONS:
Excellent problem-solving and time management skills; strong knowledge of PIC products and local area information is also beneficial. Effective interpersonal skills are a must; High School Graduate or equivalent; minimum one (1) year experience in a hotel or resort. Computer literate.
Ability to read, write, and speak English. Ability to speak basic Japanese, Korean, Russian or Chinese is a plus and language differential is provided upon successful passing of language test.
