Job Title: Remote Executive Assistant to the Chief of Staff (100% Work From Home)

Location: Remote from Latin America

Position Type: Full-time

Salary: $2,000 USD/month, paid through bank transfer

Schedule: Monday to Friday, 9:00 AM - 5:00 PM EST

We are seeking a highly organized, dependable, and detail‑oriented Executive Assistant to support the Chief of Staff. In this role, you will manage scheduling, communications, reporting, and various operational tasks on behalf of the Chief of Staff, including delegated responsibilities for senior leadership. The ideal candidate is proactive, adaptable, and excels at execution in a fast‑paced environment.

Responsibilities
  • Calendar & Travel Management: Manage a key Partner’s calendar, coordinating internal and external meetings as directed by the Chief of Staff; coordinate and track complex travel arrangements, providing flight options, accommodations, and detailed itineraries; proactively anticipate scheduling conflicts and make adjustments as needed.
  • Operations & Reporting: Support weekly and monthly metrics reporting by compiling data from Airtable into internal dashboards and systems; maintain accurate records of day‑to‑day investment operations and sales process; prepare agendas, take notes, and follow up on action items from meetings attended by the Chief of Staff.
  • Administrative Support: Monitor the Chief of Staff’s email inbox to support various member communication and investment operations efforts; maintain and organize confidential files, documents, and records; support the Chief of Staff in various ad‑hoc projects, tasks, and research; assist in preparing presentation decks (PowerPoint), notes, and reports as directed by the Chief of Staff; support both the Chief of Staff and the Partner with general administrative and logistical requests.
Qualifications, Skills and Key Competencies
  • 2-4+ years of experience in high‑level Executive Assistant roles and the ability to handle Special Projects.
  • Strong attention to detail and exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication skills, both written and verbal, with a professional and approachable demeanor.
  • High level of discretion and confidentiality in handling sensitive information and communications.
  • Problem‑solving abilities with a proactive approach to identifying and addressing challenges before they upscale.
  • Adaptability and flexibility to manage last‑minute changes and shifting priorities.
  • Strong time management skills, ensuring deadlines are met and tasks are completed efficiently.
  • Proficiency with productivity tools, such as Microsoft Office Suite (Excel, Word, PowerPoint), and Google Workspace.
  • Ability to work independently and make decisions with minimal supervision, while also being a collaborative team player.
  • Relationship‑building skills, with the ability to interact and communicate effectively with internal stakeholders, external partners, and program participants.
  • Strong sense of ownership, accountability, and follow‑through, ensuring tasks are seen through to completion.

  • Prior executive assistant experience and familiarity with finance or venture capital environments are preferred.
