Orb Group in Mexico City is seeking a Production Coordinator for a freelance, part-time role (~30 hours/week) supporting Strategists and Producers on entertainment client projects across US time zones. You will handle organizational and execution tasks through video and asset development, coordinate with internal and external partners, maintain trackers, and ensure timely delivery of Artwork and AV assets.

We are looking for a Production Coordinator to support our team in a freelance capacity roughly 30 hours a week with occasional weekend availability. The role works closely with one of our entertainment clients, providing valuable support to Strategists and Producers. This is a unique opportunity to work with a team of Creative Strategists and Producers behind the positioning and creative expression of original content. You would be involved in a wide variety of organizational, and executional tasks through the conceptual development of video and static assets. This role is based in Mexico City but works with teams in all US times zones, and occasionally CET and SGT. This is a part-time, freelancing/independent contractor opportunity out of Mexico City. If you are not comfortable being an independent contractor or if you are not located in Mexico City, your application may not be considered.

WHAT YOU'LL DO
  • Gather context and creative materials from Content Partners, Marketing, and other stakeholders to assist in the production and delivery of Artwork and A/V assets to support title launch.
  • Build presentation decks and slideshows of asset suites for internal and external
    presentations.
  • Manage day-to-day project support: source required information, research & investigate details required for successful completion, traffic to partners, oversee successful delivery.
  • Manage and coordinate delivery of materials to internal partners and external creative agencies to ensure effective kickoff of all creative development.
  • Daily tracking of a suite of creative assets for titles, including managing creative timelines throughout.
  • Update deadlines, assets, milestones and partners on project management tools and various trackers to maintain clarity and ensure perfect deliveries of Artwork and AV assets in our fast-paced environment.
  • Gather relevant links and files of delivered assets and update trackers, decks and cross-functional partners.
  • Collaborate with internal designer and external agency partners to ensure timely and spec-accurate delivery of conceptual locked assets.
  • Manage tactical tasks associated with video production pipelines (opening project folders, managing and sharing access to stakeholders, communicating with assistant editors, sending kickoff emails, etc.)
  • Responsible for the timely & successful delivery of assigned tasks such as tracking project timelines and progress across a number of verticals and projects.
  • Collaborate with Client to ensure vendors conform to specs and adhere to standardized workflows and best practices as set for by the client.
  • Coordinate with other external agency partners (vendors) to ensure timely and spec-accurate delivery of conceptual locked assets.
  • Responsible for the timely & successful delivery of assigned tasks such as tracking projecttimelines and progress across a number of verticals and projects.
  • Support other team members and promote well integrated service coverage for the Client.
  • Provide a work product that prioritizes accuracy and velocity.
WHAT YOU NEED
  • To be considered candidates must be located in Mexico City.
  • Business Level Professional Fluency in English and Spanish required.
  • Fanatical attention to detail.
  • Able to follow complex written instructions (like code, or a difficult recipe) but also have an open mind for creative solutions and an instinct for innovation.
  • Strong understanding of static Artwork specs and Video Specs to be able to review delivered video elements for techspec disparities.
  • Proficiency with cloud based project management workspaces like Airtable and Monday.com.
  • Moderate proficiency with Adobe Creative Suite (to be able to open files and confirm the adherence of delivery specs by external agencies).
  • Proficiency with Google suite, MS Teams, and Slack.
  • Strong understanding of Video Specs to be able to review delivered video elements for tech spec disparities.
  • Exceptional organizational skills with a disciplined approach to project management.
  • Experience using a Digital Asset Management system or similar tools to propagate and track assets through an operational workflow.
  • Familiarity, passion, and curiosity for the intersection of artwork, entertainment creative, and technology.
  • Proven ability to build strong cross-functional relationships with both technical and
    creative partners.
  • Firm knowledge of all aspects of a digital creative and image production workflow.
  • Great interpersonal skills and comfortable in a client facing role.
  • Fervent follow-through and being tenacious is essential.

Please note: This role requires you to provide your own laptop for work purposes. To protect confidential company and client information, you must be comfortable allowing Orb to install and maintain required security software and settings on the device in accordance with our information security policies.

Salary: 70-140 MXN hourly, based on experience

Status: Freelance/Independent contractor, part-time, up to 30 hours weekly
