Compensation: $1,500-$2,000 per month (salary based on assessment)

About the Role
We are seeking a detail-oriented, proactive Operations Associate to support our business operations. The ideal candidate will manage the entire customer lifecycle from quote generation to invoice collection, working closely with the CEO to optimize our financial processes and operations.
Responsibilities:
Quote Management
Generate professional quotes using ServiceTrade software
Research and prepare accurate pricing for fire protection services
Track quote approvals and follow up with potential clients
Maintain organized quote tracking system
Invoicing and Financial Processing
Create and manage invoices in QuickBooks and Service Trade, their field service management software
Ensure accurate financial coding and documentation
Process payment links and track accounts receivable
Submit compliance reports to relevant industry portals
Operational Support
Coordinate with operations team on job scheduling
Communicate with internal teams and clients in English and Spanish
Assist with basic scheduling and client communication
Utilize technology tools to improve operational efficiency
Requirements
Skills & Qualifications
Bilingual proficiency in English and Spanish
Problem-solving and self-motivated attitude
High attention to detail and organizational skills
Strong communication skills, both written and verbal
Experience with financial software (QuickBooks preferred)
Proficiency in technology tools and quick adaptability
Basic data management experience
Bachelor’s degree or equivalent professional experience
Technical Proficiencies
QuickBooks
ServiceTrade or similar field service management tools (preferred)
Familiarity with tools like ChatGPT, Bitly, and general productivity software
Preferred Background
Experience in operations, business administration, or a related field
Familiarity with field service management software
Strong organizational and multitasking capabilities
