Summary


We are looking for a proactive, organized, and people-focused individual to support the daily operations of our office in Mexico City. This role is essential to ensuring that our workspace remains safe, functional, and fully compliant with workplace health and safety regulations. The person in this position will be responsible for coordinating operational activities, following up with vendors, supporting maintenance management, and providing on-site assistance to our team. You will also have the opportunity to propose and implement process improvements using technology.


Description
  • Support the compliance of Mexican Official Standards (NOMs) related to workplace safety, health, and physical conditions of the office.
  • Coordinate similar processes in Colombia through external vendors.
  • Follow up on preventive and corrective maintenance in the office (infrastructure, furniture, cleaning, air conditioning, etc.).
  • Coordinate vendor services: cleaning, office supplies, security, food, and general
    services.
  • Manage office supply inventories (groceries, stationery, cafeteria items).
  • Support emergency drills, training sessions, and NOM-035 workplace surveys.
  • Provide on-site support for team needs: events, visits, meetings, and day-to-day operational requests.
  • Participate in and help coordinate the Health and Safety Committee.
  • Maintain up-to-date documentation and support internal safety process audits.
  • Contribute to the well-being and positive experience of the team within the office
  • 1 to 3 years of experience in office administration, operations, or facilities coordination.
  • Proven knowledge of labor regulations and workplace safety standards (NOMs).
  • Practical knowledge of NOM-035-STPS-2018.
  • Previous participation in health and safety committees.
  • Experience managing vendors and service contracts.
  • Proficient in Google Workspace (Drive, Sheets, Forms) and digital management tool (Notion or similar).
  • Strong organizational, problem-solving, and prioritization skills.
  • Excellent communication and customer service orientation.
  • Preferred: Experience with simple process automation (Google Apps Script, Zapier, n8n).
  • Experience creating workflows to support and enhance the on-site team experience.
  • Strong project management and organizational skills.
  • High resilience and tolerance for frustration.
  • Proficiency in English (B2 level minimum).
  • Startup experience is desirable
