Job Description

This is a remote position.

Schedule: Monday to Friday

9:00 AM to 6:00 PM Stuart, FL Time

With 1 hour unpaid break

We are seeking a skilled and detail-oriented Medical Receptionist with experience in handling insurance authorizations to join our team. This role combines traditional front desk responsibilities with expertise in managing insurance authorizations, ensuring patients receive timely care while maintaining the smooth operation of the practice. The ideal candidate will have medical experience, strong organizational skills, and the ability to thrive in a fast-paced environment.

Responsibilities:

  • Greet patients and visitors warmly and professionally, ensuring a positive first impression.
  • Determine whether patients are existing or new to the practice and update records accordingly.
  • Answer incoming calls promptly, address inquiries, and transfer calls to the appropriate doctors or departments as needed.
  • Schedule, reschedule, and confirm patient appointments, ensuring efficient use of the doctors’ schedules.
  • Verify and explain HMO policies to patients, ensuring they understand their coverage and requirements.
  • Assist patients with medication refill requests and ensure compliance with the clinic’s protocols for prescription refills.
  • Run insurance benefits daily for all patients to determine if authorizations are required for office visits, procedures, injections, or other services.
  • Identify and differentiate insurance policies that require prior authorizations and initiate the authorization process as needed.
  • Connect with primary care physicians verbally or through written requests to obtain necessary authorizations.
  • Maintain clear communication with staff regarding urgent authorization requests and handle add-on requests due to cancellations or schedule changes.
  • Call patients to confirm appointments, providing reminders and rescheduling as necessary.
  • Maintain accurate patient records, updating personal and insurance information as needed.
  • Manage the front desk area, ensuring it remains organized, clean, and professional at all times.

Requirements

  • Proven experience as a Medical Receptionist or in a similar role within a healthcare setting.
  • Familiarity with medical terminology, prescription refill processes, and HMO policies is required.
  • Strong organizational and multitasking abilities to manage a busy front desk environment.
  • Excellent communication and interpersonal skills to interact effectively with patients, doctors, and staff.
  • Proficiency in using medical scheduling software and electronic health record (EHR) systems.
  • Ability to work independently while maintaining a collaborative approach with the medical team.
  • High level of professionalism and confidentiality when handling sensitive patient information.
  • Availability to work flexible hours and call patients for appointment confirmations.

Preferred Qualifications:

  • Previous experience managing medication refills and scheduling appointments in a medical environment.
  • Knowledge of HMO insurance policies and coverage verification processes.
  • Bilingual skills (preferred but not required).
