CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the position of Hospitality Administrative Coordinator to work in the H Department.
The position will be based at CIMMYT’s headquarters in Texcoco, near Mexico City.
Specific Duties
Finance activities
- Plan, design, execute, and monitor the activities of the Hospitality budget in coordination with the Hospitality manager. Participate in the Institutional yearly Budget Process (revenues, administration and operational expenses, CAPEX, etc.).
- Present reports, analyses, progress updates, and/or status of the budget and project updates as required by the program.
- Provide administrative guidance and support to involved staff, ensuring compliance with financial requirements.
- Manage petty cash, supervise the laundry and souvenir shop income.
- Focus on cost accounting, indirect costs, and cost allocations.
- Oversee the Budget and Financial analysis of Hospitality operations.
- Monitor expenses monthly (Budget vs Actuals) and control larger variations to prevent over-expenditure.
- Prepare and send monthly and quarterly financial reports and forecasts.
- Compare and analyze Budget versus actuals monthly, explaining variations.
- Collaborate with different organizational areas to gather necessary information for budget analysis.
- Support activities of the Financial Information and Reporting Manager.
- Respond to ad hoc requests for financial information.
Procurement and administrative activities
- Provide administrative and logistical support to ensure timely activity completion.
- Review vendor invoices and bills before submitting to finance.
- Maintain efficient archive systems for the office, including files and cross-references.
- Assist in planning and forecasting inventory needs.
- Conduct in-country procurement aligning with CIMMYT policies.
- Track procurement procedures to ensure task and project fulfillment.
- Manage payments, ensuring accuracy and promptness to vendors and staff claims.
- Support vehicle administration.
Requirements
- Bachelor’s degree in accounting or finance.
- Minimum of 5 years experience in finance, accounting, budgeting, forecasting, and expense analysis.
- Experience in costing activities related to production and services.
- Knowledge of financial systems, ERP, MS Office, database management, data extraction, and report presentation.
- Proven ability to prepare relevant financial management reports with visual data representation.
- Strong analytical skills and ability to identify financial trends.
- Advanced Excel skills.
- Ability to work independently, prioritize, and plan effectively.
- Proactive, flexible, capable of handling conflicting priorities and deadlines.
- Excellent customer service and communication skills, with high attention to detail.
- Proficiency in English and Spanish at a minimum B2 level.
- Ability to work with diverse nationalities and under pressure.
- Sense of urgency and commitment to responsibilities and deadlines.
