Formación

CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the position of Hospitality Administrative Coordinator to work in the H Department.

The position will be based at CIMMYT’s headquarters in Texcoco, near Mexico City.

Specific Duties

Finance activities

  1. Plan, design, execute, and monitor the activities of the Hospitality budget in coordination with the Hospitality manager. Participate in the Institutional yearly Budget Process (revenues, administration and operational expenses, CAPEX, etc.).
  2. Present reports, analyses, progress updates, and/or status of the budget and project updates as required by the program.
  3. Provide administrative guidance and support to involved staff, ensuring compliance with financial requirements.
  4. Manage petty cash, supervise the laundry and souvenir shop income.
  5. Focus on cost accounting, indirect costs, and cost allocations.
  6. Oversee the Budget and Financial analysis of Hospitality operations.
  7. Monitor expenses monthly (Budget vs Actuals) and control larger variations to prevent over-expenditure.
  8. Prepare and send monthly and quarterly financial reports and forecasts.
  9. Compare and analyze Budget versus actuals monthly, explaining variations.
  10. Collaborate with different organizational areas to gather necessary information for budget analysis.
  11. Support activities of the Financial Information and Reporting Manager.
  12. Respond to ad hoc requests for financial information.

Procurement and administrative activities

  1. Provide administrative and logistical support to ensure timely activity completion.
  2. Review vendor invoices and bills before submitting to finance.
  3. Maintain efficient archive systems for the office, including files and cross-references.
  4. Assist in planning and forecasting inventory needs.
  5. Conduct in-country procurement aligning with CIMMYT policies.
  6. Track procurement procedures to ensure task and project fulfillment.
  7. Manage payments, ensuring accuracy and promptness to vendors and staff claims.
  8. Support vehicle administration.

Requirements

  1. Bachelor’s degree in accounting or finance.
  2. Minimum of 5 years experience in finance, accounting, budgeting, forecasting, and expense analysis.
  3. Experience in costing activities related to production and services.
  4. Knowledge of financial systems, ERP, MS Office, database management, data extraction, and report presentation.
  5. Proven ability to prepare relevant financial management reports with visual data representation.
  6. Strong analytical skills and ability to identify financial trends.
  7. Advanced Excel skills.
  8. Ability to work independently, prioritize, and plan effectively.
  9. Proactive, flexible, capable of handling conflicting priorities and deadlines.
  10. Excellent customer service and communication skills, with high attention to detail.
  11. Proficiency in English and Spanish at a minimum B2 level.
  12. Ability to work with diverse nationalities and under pressure.
  13. Sense of urgency and commitment to responsibilities and deadlines.
