About the Client: The client is a property management company dedicated to providing exceptional service to property owners and tenants. With a focus on streamlined processes and personalized support, they specialize in tenant onboarding, property maintenance coordination, and administrative management. Their commitment to excellence ensures a seamless and professional experience for all clients and partners.

About the Role:
We are hiring a Leasing Virtual Assistant (VA) to manage the full leasing communication and coordination process. This remote role is ideal for someone with strong property management or leasing experience, excellent communication skills, and the ability to remain responsive and organized, even during high-volume periods.

The role is based remotely, open to candidates in Latin America or the Philippines, working Monday to Friday (Pacific Time hours) with weekend flexibility for urgent showings and emergency support.

Key Responsibilities:

  • Monitor the leasing portal daily for new inquiries from rental sites.
  • Respond to rental leads via phone, text, and email in a timely, professional manner.
  • Schedule and coordinate property showings with prospects and on-site managers.
  • Update the shared calendar with accurate showing details.
  • Follow up with prospective tenants after showings to gather feedback and confirm interest.
  • Ensure no questions go unanswered before or after showings—especially during weekends or off-hours.
  • Provide regular updates to the team and property owners on leasing status and tenant feedback.
  • Maintain organized records of all communications and leasing activities.


Qualifications:

  • Prior experience in property management or real estate leasing is required.
  • Experience with Buildium or similar property management tools is preferred.
  • Familiarity with Showing Hero is a strong plus.
  • Must speak fluent, clear English; Spanish is a bonus.
  • Excellent verbal and written communication skills.
  • Highly organized, detail-oriented, and able to multitask efficiently.
  • Tech-savvy and comfortable using CRMs, calendars, and cloud-based tools.
  • Able to work independently, meet deadlines, and respond quickly under pressure.


Schedule & Availability:

  • Monday - Friday | 8 AM–5 PM Pacific Time
    Weekend flexibility required (on-call for emergencies or urgent showing inquiries).
    These are short, occasional tasks (30 seconds–1 minute).
    • Examples: Providing lockbox info, coordinating last-minute showings
  • Incentives available for candidates who provide consistent weekend support.


Tools Provided:
All required software (Buildium, calendars, communication tools) will be provided. Candidates must be willing to install work apps on their personal phone for quick emergency response access.
