Formación

  • Prior experience as an Executive Assistant, Business Manager, or Sales Operations Coordinator.
  • Fluent in English with business writing proficiency.
  • Strong command of Microsoft Office and CRM tools.

About the Role:

The Executive Operations Partner serves as a critical force multiplier for the President, with a primary focus on maximizing operational efficiency, ensuring consistent client and deal follow-up, and safeguarding the executive’s time and focus. This role blends strategic coordination with hands-on execution, providing support across a range of responsibilities including inbox triage, CRM updates, proposal preparation, and slide formatting. The Executive Operations Partner works directly with the President to ensure no task or opportunity is overlooked, while proactively identifying ways to enhance systems and improve communication throughout the business.

Key Responsibilities


  • Manage executive inbox and calendar using the principles from *Buy Back Your Time* by Dan Martell
  • Triage communication and escalate or resolve messages based on urgency and ownership
  • Track sales opportunities, leads, and client follow-ups across CRM and spreadsheet systems
  • Draft and assemble proposals and format PowerPoint slides for training and client sessions
  • Coordinate with external partners, including our marketing agency, to ensure timely deliverables


  • Maintain task systems, SOPs, and shared tools that drive operational clarity
  • Summarize key priorities daily and protect Paul’s time and focus through smart scheduling

Required Qualifications


  • Prior experience as an Executive Assistant, Business Manager, or Sales Operations

Coordinator

  • Excellent written and verbal communication
  • Highly organized with exceptional attention to detail
  • Strong command of Microsoft Office (Outlook, Word, PowerPoint, Excel) and CRM tools

(Zoho preferred)

  • Comfortable drafting proposals, follow-up messages, and other client-facing communication
  • Experience using Canva (or similar tools) to produce professional, brand-aligned materials

  • Familiarity with scheduling tools, project management systems, and digital workspaces
  • Fluent in English with business writing proficiency

Preferred Characteristics

  • Comfortable making basic graphic updates or creating simple visual content in Canva, when needed
  • Experience in sales, presales, or client success
