We're Hiring: Executive Assistant to Founder & CEO (Remote – Full Time)

About The Role

We're looking for a super smart and fast Executive Assistant to support a founder who runs several companies across different industries. If you're great at solving problems, super organized, and can work independently without needing a lot of handholding, this could be for you.

This role is a mix of business and personal support. You’ll be handling tasks like following up with investors, managing documents, booking travel, fixing property-related issues, and keeping everything moving. Think of it as a mix between Executive Assistant and Junior Chief of Staff.

Key Responsibilities

Operational Support

  • Monitor ongoing tasks and keep track of what’s happening across multiple businesse: nothing should fall through the cracks.
  • Stay up to date with what the founder is working on, what’s coming next, and what needs follow-up, without needing constant reminders.
  • Manage and organize the founder’s Notion workspace: update task lists, materials, and documentation regularly.
  • Track incoming messages and emails highlight key items, follow up when needed, and take action when appropriate. Communicate with internal and external contacts on behalf of the founder—confidently write, call, or message to get things done.

Problem Solving & Project Execution

  • Take full ownership of small and large tasks e.g., coordinate investor documents, manage HOA/property issues, set up meetings, or handle vendor research and communication.
  • Solve problems independently: research, compare options, talk to the right people, follow up consistently, and find answers.
  • Don’t wait for instructions—figure out how to move forward, and only bring things back when it’s time to approve or escalate.

Personal & Executive Assistance

  • Handle personal logistics: flights, hotels, itineraries, reservations, and travel planning.
  • Support basic financial admin tasks: wire transfers, collecting signatures, checking tax-related messages, or communicating with accountants.
  • Be someone the founder can trust with personal matters—professional, organized, and discreet.

Must-Have Qualifications

  • Previous Experience: 3+ years of experience working as an Executive Assistant supporting U.S.-based founders or executives.
  • Problem-Solving Mindset – You love finding solutions, working through ambiguity, and thinking two steps ahead.
  • Tech Fluency – Strong command of Notion, Google Workspace (Docs, Sheets, Gmail), and AI tools like ChatGPT or Claude.
  • Strong English – Fluent spoken and written English. Clear, confident communicator.
  • High Velocity – You move fast, learn faster, and work well under pressure. You get things done.
  • Attention to Context – You track emails and tasks closely enough to know what’s being referenced without being spoon-fed details.
  • Reliability & Autonomy – Able to manage time independently and be trusted with sensitive business and personal matters.
  • Engineer’s Brain – Background in engineering (preferred) or strong analytical
