The Role: We’re looking for a high-performing Executive Assistant to support our CEO and COO who can keep the organization running efficiently. This role goes beyond calendars and travel, it’s about helping the right things happen at the right time, with the right level of follow-through. You’ll work closely with leadership, provide critical support in day-to-day operations, and contribute to the internal coordination that keeps our teams aligned and effective.

Key Responsibilities
- Executive Support – Manage the CEO’s and COO's calendar, schedule internal and external meetings, book travel, prepare materials, and help ensure meetings are productive and purposeful.
- Communication & Coordination – Support internal communications and assist with team updates, company-wide announcements, and engagement efforts that reflect our tone and values.
- HR & Onboarding Support – Help facilitate new hire onboarding, maintain employee records, support compliance processes, and assist with HR administration as needed.
- IT & Systems Oversight – Act as the internal point of contact for IT needs; coordinate with our third-party IT provider on user access, hardware, and tech onboarding.
- Document & Information Management – Maintain digital files and folders in SharePoint and other platforms, ensuring version control and accessibility across departments.
- Office & Vendor Operations – Oversee office logistics, supply coordination, and vendor relationships for both physical and remote office needs.
- Task & Follow-Up Management – Track key deliverables, assist with preparation for leadership meetings, and help follow up on next steps across teams.
- Culture Support – Help bring our values to life through thoughtful support of internal events, recognition moments, and small touches that make a big difference.
Requirements
- 4 to 5 years of high-level executive support or office management experience
- Full written and spoken English proficiency (C1 - C2 Level)
- Work location - In person in our Roma Norte office
- Proficiency in Microsoft 365 Suite, especially Microsoft Office and Excel
- Detailed focused, tech-savvy with an eye on polished documents, and Marie Kondo-type organization skills.
- Excellent verbal and written communication skills
- Ability to remain flexible and efficient in a fast-paced environment.
- Ability to make intelligent, independent, and quick decisions.
- Can work well under pressure; especially when faced with unexpected occurrences or delays.
- Ability to effectively analyze and solve problems.
