An established industry player is seeking a Receptionist/Sales Assistant to be the welcoming face of the company. This role involves greeting visitors, managing phone calls, and assisting the Sales Department with various administrative tasks. Greet visitors, clients and vendors. Answer incoming calls for company in English or Spanish, whichever is appropriate. Assist and coordinate back office activities for Sales Department. Assist with Sales Department duties (defined below), Management Team and Finance Department activities (defined below). Receptionist/Sales Assistant must manage time and daily activities to ensure all activities are completed accurately and on time, each day.
MAIN DUTIES:
• Greets all visitors. Controls the Foreign Visitor Logbook. Verify foreign visitors carry a valid Immigration Permit and Passport and perform appropriate procedures for logging their information in the aforementioned logbook.
• Answers the phones for the Company and transfers calls to appropriate Staff as needed or assist callers with their needs. Receives mail and distributes to the appropriate recipient.
• Arranges necessary materials and office supplies for the office and maintains Stationery control.
• Communicates with AAP staff and incoming Customers to arrange hotel, travel and entertainment needs. Make hotel reservations and flight reservations as required for AAP staff and Customers.
• Assists in the preparation of meeting rooms to receive visitors or staff. Order meals for visitors/staff as necessary.
• Performs administrative tasks or generates reports that are assigned by Executive Management.
• This position does not assist any other department within the company unless so advised by Sales Director.
• Perform any other activities and duties as directed by Executive Management.
SKILLS:
Intermediate computer skills (Office: Word, Excel, Power Point, etc.) and/or application programs.
