About the Client:

The client operates a well-established construction and development company specializing in residential and commercial projects across Texas. They are committed to delivering high-quality, customized building solutions with a focus on integrity, craftsmanship, and long-term value. With a hands-on approach to project management, the client values reliability, strong communication, and attention to detail in every aspect of their business operations.

About the Role:

The Virtual Assistant will be responsible for managing emails and calendars, supporting document and file workflows, and performing data analysis tasks—particularly using Excel. The ideal candidate will have a background in construction or real estate, excellent organizational skills, and the ability to manage multiple priorities efficiently.

Key Responsibilities:

Manage and triage emails, flagging time-sensitive messages and maintaining inbox organization

  • Handle calendar scheduling for meetings and project timelines
  • Perform data analysis and reporting in Excel to support operational decision-making
  • Prepare and manage documents, including NDAs, contracts, and internal file
  • Support general back-office tasks and assist with operational improvements
  • Collaborate regularly with the client and operations manager via video calls and check-ins
  • Assist with future CRM implementation and file system restructuring
  • Detail-oriented professional to maintain our CRM and ensure timely, clear communication as the client launches marketing campaigns. (Critical piece on the daily tasks)

Preferred Qualifications:

  • 2+ years of experience as a Virtual Assistant, Executive Assistant, or Admin Support
  • Experience in real estate, construction, or similar fast-paced industries
  • Proficient in Microsoft Excel, Google Suite, Microsoft 365, and Adobe PDF tools
  • Highly organized with strong attention to detail—must be able to manage large volumes of communication and documents
  • Excellent written and verbal communication skills
  • Ability to self-manage and prioritize tasks in a remote setting
  • Spanish language skills a plus, but not required
