We Are Hiring:

Analista Administrativo de Producción

Provide administrative and financial support to the production operation, ensuring all processes related to suppliers (registrations, contracts, invoicing, and payments) are managed timely and properly, maintaining visibility and traceability for the Production, Finance, and Operations teams.

Requirements:
  • Minimum 2 years of experience in administrative, purchasing, finance, or production roles in agencies, creative companies, or events
  • Experience managing suppliers, contracts, invoicing, and payments within production or event environments
  • Studies in Business Administration, Finance, Accounting, or related fields
  • Knowledge of and understanding of administrative and financial processes related to suppliers (registrations, contracts, invoicing, payments)
  • Familiarity with management tools and platforms, ERP systems, Excel, or similar platforms
Responsibilities:
  • Register and onboard suppliers in internal systems
  • Coordinate the generation, signing, and archiving of contracts with each supplier
  • Ensure all required documents are complete and correct before starting production
  • Follow up on the approval of ODCs generated by the producer
  • Verify that orders are properly authorized and aligned with budgets and project timelines
  • Confirm receipt of invoices from suppliers and their entry into the accounting system
  • Coordinate payment dates with Finance and communicate them to the supplier
  • Actively follow up on payments to ensure they are made timely and properly
  • Alert Production and Finance of any deviations or potential delays
  • Maintain an updated record of each supplier's status: signed contract, approved ODC, invoice entered, payment made
  • Generate periodic reports and provide operational support to the team
