Overview
We are seeking a Bilingual Administrative Assistant to join our dynamic team.
Principal Tasks and Responsibilities
- Perform various administrative tasks requiring thorough knowledge of office routines and understanding of the firm’s organization, programs, and procedures.
- Handle procurement processes for office operations, including finding vendors, adding them to the ERP system, and managing purchase orders.
- Ensure all procurement steps are followed to maintain smooth office operations.
- Handle proprietary information confidentially at all times.
- Maintain archive records and databases according to corporate procedures.
- Assist Human Resources with tasks such as New Hire Orientation, ordering memorials, or gifts for births, get well, and weddings.
- Support or participate in corporate-led initiatives.
- Assist at the front desk or provide backup, welcoming visitors or clients, routing incoming faxes.
- Support travel arrangements, including scheduling rental cars and reconciling invoices.
- Assist with tracking parking lot use, creating building ID badges, and ordering nameplates for new hires.
- Support project team compliance with client requirements.
- Occasional travel may be required.
- Bilingual in English and Spanish is required.
What You Will Bring
- Bachelor's Degree in Business Administration, International Business, Entrepreneurship, or related field.
- 2-5 years of relevant practical experience.
- Proficiency in MS Office Suite (PowerPoint, Excel, Word, etc.).
- Experience with PO and Billing ERP report systems is desirable.
- Advanced English skills (reports to USA and Mexico).
