Job Description

This role involves working closely with Account Managers on tour planning and increasing registrations. Responsibilities include building relationships with Program Leaders, collaborating with various departments to deliver excellent customer service, and assisting with account correspondence. The position requires contributing to the customer service team, supporting colleagues, and developing skills to potentially serve as an Account Manager. Professionalism, confidentiality, a positive attitude, promptness, and alignment with company goals are essential. The role may also include supporting other departments during non-travel periods to advance the company's mission.

Responsibilities
  1. Organize and plan activities using an Excel Group Sheet to monitor task completion for each group.
  2. Update and advise Account Managers on upcoming tasks via the Excel Group Sheet.
  3. Provide weekly updates to Account Managers in electronic format.
  4. Maintain accurate documentation.
  5. Manage room list processes, understand and communicate company policies to Program Leaders.
  6. Assist customers with completing room lists.
  7. Enter room list data into the system.
  8. Manage pre-tour details, educate customers on schedules and policies.
  9. Create and send customized Program Information Letters with school travel details.
  10. Distribute Program Leader Final packets and pre-trip materials to schools.
  11. Send educational Discovery Journals and coordinate shipping with the Fulfillment Center.
Qualifications
  • 2-3 years of experience managing multiple tasks in an office setting.
  • Strong organizational, time management, and interpersonal skills with a positive, solution-focused attitude.
  • Clear, professional verbal communication skills.
  • Ability to work under pressure and willingness to extend working hours when needed.
  • Proactive, eager to learn new skills.
  • Typing and computer proficiency required.
  • Ability to proof documents visually and input data accurately.
