Job summary

Essity is seeking a Payroll & HR Administration Specialist to support accurate, compliant payroll for ~1,000 employees across Italy. Based in Legnano (MI) with a hybrid Milan area arrangement, you will manage master data, time and attendance, end-to-end payroll, and year-end obligations while collaborating with HR, Finance, and external providers.

The role requires strong numerical, analytical, and Excel skills, fluency in English and Italian, and knowledge of labor regulations.

Qualifications

• Degree or equivalent in Economics, Law, or HR.
• Payroll experience in a structured organization or with a payroll provider.
• Strong knowledge of labor, tax, social security and compensation practices.

Responsibilities

• Manage and maintain employee master data across the lifecycle.
• Handle Time & Attendance including leave and overtime.
• Oversee end-to-end payroll, including salaries, taxes, social contributions, and benefits.
• Review payroll results with controls and reconciliations.
• Support year-end activities and statutory obligations (CU, Form 770, INAIL).
• Collaborate with Finance on monthly and annual closings and labour cost accounting.
• Provide specialist payroll and labor law guidance to HR and stakeholders.
• Liaise with external payroll providers for quality and continuity.

As a **Payroll & HR Administration Specialist**, you will support accurate and compliant payroll processes for approximately 1,000 employees across Italy. The position is based in Legnano (MI), reports to the Payroll & Employee Admin Leader Italy, and is part of a team of four people**.** You will work closely with HR, Finance, employees, and other internal stakeholders, supporting both office and manufacturing employees and helping ensure an efficient and high-quality payroll service. **What You Will Do** * Manage and maintain employee master data throughout the entire employee lifecycle, ensuring accuracy, quality, and data integrity.* Manage Time & Attendance processes, including attendance, absences, vacation, sick leave, overtime, and other working time-related transactions.* Manage the end-to-end payroll process, ensuring the accurate handling of salaries, taxes, social security contributions, benefits, allowances, and other compensation elements.* Review and validate payroll results through controls and reconciliations, coordinating any required corrections.* Support year-end payroll activities and statutory obligations, including Tax Certification (CU), Form 770, INAIL requirements, and other regulatory compliance activities.* Partner with the Finance team on monthly and annual closing activities, including accrual management and labor cost accounting.* Provide specialist support to HR and internal stakeholders on payroll, personnel administration, and labor law matters.* Manage relationships with external payroll providers, ensuring service quality, operational continuity, and timely issue resolution.* Prepare payroll analyses and reports for HR, Finance, Audit, budgeting, and forecasting purposes, supporting data-driven decision-making.* Monitor regulatory developments and contribute to the continuous improvement of payroll processes, HR/Payroll systems, and cross-functional projects.* Support the car fleet administrator with fleet management activities and act as a key point of contact for employees based at the Legnano office **Who You Are** * You hold a degree in Economics, Law, Human Resources, or an equivalent combination of education and professional experience.* You have payroll experience gained within a structured organization or a specialized payroll provider.* You possess strong knowledge of labor, tax, and social security regulations, collective bargaining agreements, and compensation and benefits practices.* You are detail-oriented, analytical, and quality-focused, with a strong commitment to accuracy and compliance.* You have excellent numerical skills and solid experience in payroll data analysis and reporting, with advanced proficiency in Excel.* You are familiar with HR and payroll systems; knowledge of Workday, SAP, and/or Zucchetti is considered a strong advantage.* You can communicate clearly and effectively with a wide range of stakeholders and explain complex topics in a simple and understandable way.* You demonstrate a proactive mindset, with a strong focus on continuous improvement, innovation, and effective management of priorities and deadlines.* You are fluent in both English and Italian* You are required to be available for regular travel to the Altopascio (LU) site, especially during the initial onboarding and training period **What We Offer** * We offer a permanent employment contract, with our salary offer starting from €33,600 gross per year, plus meal vouchers, an annual performance bonus, and additional company benefits.* You will also benefit from a flexible hybrid working model, including two days of remote working per week* Most importantly, you will become part of a collaborative, inclusive, and people-focused environment where your contributions are valued, continuous learning is encouraged, and everyone is empowered to develop their potential and make a meaningful impact on the business and the communities we serve. *This job posting is open to applications from all genders (Law 903/77 and Legislative Decree 198/06) and to individuals of any age, nationality, religion, disability, sexual orientation, or other characteristics protected by law.
