A leading pharmaceutical company in Milano is seeking a Medical Affairs Admin Coordinator for administrative support within the Medical Affairs department. The ideal candidate will have a university degree, at least 2 years of experience, and strong project management and communication skills. Proficiency in Microsoft Office and fluent English is essential. This position is a temporary maternity cover contract.

Overview

IQVIA is looking for a Medical Affairs Admin Coordinator.

Responsibilities
  • Serve as a primary point of contact for administrative and organizational matters within the Medical Affairs department
  • Deliver high-quality administrative and logistical support to the Medical team
  • Operate independently within established guidelines, SOPs, and defined workflows
  • Assist in identifying the most effective approach for new tasks and assignments
  • Manage and maintain calendars and agendas for the Medical Affairs team
  • Organize and archive correspondence and documentation systematically
  • Handle business travel arrangements and itineraries
  • Support vendor management processes, including contract coordination with Procurement and invoice handling
  • Coordinate ongoing projects and departmental priorities
  • Create and manage purchase orders (POs) for the department
  • Demonstrate proficiency in departmental tools and databases (e.g., Veeva, Concur, SAP, Oracle)
  • Initiate and follow up on Veeva workflows, acting as process creator when needed
  • Participate in large-scale meetings to coordinate logistics and ensure optimal service delivery
  • Assist in the creation of slide presentations and meeting materials
  • Stay current with GxP requirements through internal and external training
  • Collaborate with internal stakeholders and external vendors to ensure seamless execution of meeting logistics
Knowledge, Experience and Skills
  • University degree and experience in the pharmaceutical or event planning industry
  • Minimum of 2 years of experience in similar role
  • Must have strong project management, customer service skills
  • Must have strong communication skills
  • Must have strong proficiency in Microsoft Office applications
  • Fluent in writing and speaking English
