Job summary

BCD Meetings & Events is seeking a Project Manager – Meetings Management with Life Science expertise to lead client events from concept to execution. You will manage program development, budgets, vendor relationships, and attendee communications for a dedicated Life Sciences client.

Based in Milan, this permanent hybrid role requires on-site presence at the client office three days per week and some travel.

Qualifications

• Solid experience in meeting/program planning.
• Experience with Life Sciences clients.
• Proficiency in Microsoft Office.
• Fluent Italian and English.
• Knowledge of travel industry and destinations.
• Experience with Cvent is preferred.
• Up to 25% travel may be required.

Responsibilities

• Oversee planning and execution of programs, ensuring timelines and client financial controls.
• Provide advice on best practices, compliance, and cost savings for events.
• Create and communicate budgets with reconciled final figures.
• Manage supplier negotiations and relationships for high-quality service.
• Conduct venue research, budgeting, and manage the e-RFP process.
• Track registrations, manage hotel room blocks, and cancellations.
• Build client websites for information collection and registration, ensuring compliance.
• Meet deadlines for reporting, audits, and supplier billing compliance.
• Assist in developing SOPs and best practices to enhance regional operations.
