BCD Meetings & Events in Milan, Italy is seeking a Project Manager – Meetings Management with life sciences expertise to lead client events from sourcing venues to on-site execution. The role is hybrid and based in Milan’s client office with travel as needed.

You will handle multiple programs for a single client, coordinating with clients and vendors to deliver memorable events while managing budgets, timelines and registrations.

Qualifications

• Experience in meeting/program planning.
• Experience working with Life Sciences clients.
• Proficiency with Microsoft Office applications.
• Italian and English bilingual proficiency.
• Travel industry knowledge desirable.

Responsabilités

• Oversee planning and execution of programs, ensuring timelines and client financial controls.
• Provide advice on best practices, compliance, and cost savings for events.
• Create and communicate budgets throughout planning with reconciled final budgets.
• Manage supplier negotiations and relationships for high service levels.
• Conduct venue research, preliminary budgeting, and manage the e-RFP process.
• Track registrations and attendees, and coordinate hotel room blocks and cancellations.
• Build client websites for information collection and registration and ensure compliance requirements.
• Meet deadlines for reporting and audits, and ensure supplier billing compliance.
• Develop SOPs and best practices to improve operations across regions.
