Job summary

The Wedding Company in Goa is seeking a senior wedding planner with at least 25 years of experience in the Goa luxury wedding market to lead end-to-end planning from concept design through execution.

You will source and manage NCR-based vendors, design immersive experiences, control budgets, oversee guest services, seating, and on-site coordination to ensure flawless, memorable weddings.

Key Responsibilities

1. Initial Consultation & Concept Design

• Vision Mapping: Conduct deep-dive meetings with clients to define their wedding style, theme, color palette, and priorities.
• Mood Boarding: Create visual presentations and mood boards detailing decor, lighting, floral arrangements, and stage setups.
• Scope Definition: Establish clear event scopes, breaking down multi-day functions like Mehendi, Sangeet, Haldi, and the Reception.

2. NCR Vendor Sourcing & Management

• Vendor Selection: Match clients with curated options for decorators, caterers, photographers, makeup artists, and entertainment.
• Contract Negotiation: Review vendor contracts, negotiate competitive pricing, and secure bookings to lock in dates.
• Logistics Alignment: Coordinate technical requirements (sound, light, power loads) between the venue and technical production teams.

3. Budgeting & Financial Control

• Cost Allocation: Design a comprehensive budget spreadsheet distributing funds across categories based on client priorities.
• Payment Scheduling: Set up and monitor payment tracking systems to ensure timely deposit clearances to vendors.
• Expense Optimization: Identify cost-saving opportunities without compromising the aesthetic quality or guest experience.

4. Guest Experience & RSVP Management

• RSVP Tracking: Oversee the guest registration process, tracking final headcounts, dietary restrictions, and special needs.
• Hospitality & Check-in: Coordinate airport transfers, hotel check-ins, welcome hamper distributions, and helpdesk operations.
• Seating Matrices: Design complex floor plans and seating charts for formal sit-down dinners or VIP lounges.

5. Timeline Production & On-Site Coordination

• Master Itinerary: Build a minute-by-minute timeline covering vendor setup times, artist soundchecks, and ritual schedules.
• Backstage Management: Direct artists, emcees, and choreographers to ensure entry cues and stage performances start on time.
• Vendor Supervision: Monitor catering food layouts, bar setups, and decor finishing touches before guest arrivals.
• Crisis Mitigation: Handle last-minute emergencies like weather shifts, technical failures, or vendor delays discreetly.

Requirements

• Experience: 25 years of wedding planning experience specifically within the Goa luxury wedding market.

Your Growth:

• You'll experience Series B, C in 24-months.
