You will coordinate with drivers, mechanics, and branch staff, maintain real-time readiness checklists, and produce daily reports on departures and maintenance issues. 3+ years in fleet operations preferred.

To take complete ownership of pre-departure bus readiness, ensuring that every vehicle is fully inspected, all crew members are reported on time, and all operational checks are cleared to guarantee 100% safe, clean, and punctual departures across all routes.

Key Responsibilities (KRAs)

1. Pre-Departure Bus Readiness & Timelines

• Departure Point Logistics: Ensure every assigned bus reaches the designated departure point at least 3 hours prior to the scheduled departure time.
• Crew Availability: Coordinate and track the timely physical reporting of the Driver, Mechanic, and Conductor for every journey.
• Strict Preparation Milestones: Conduct thorough operational checks to ensure that the bus is 100% prepared and confirmed ready at least 2 hours prior to departure.

2. Bus Inspection & Quality Control

• Vehicle Audits: Perform physical inspections of every bus prior to departure, covering overall cleanliness, seating condition, internal/external lights, tyre pressure/condition, and safety equipment.
• Maintenance Coordination: Work directly with the workshop and maintenance team to resolve mechanical issues before dispatch, ensuring zero uncleared mechanical faults go on route.

3. Pre-Departure Tracking & Escalations

• Real-Time Follow-Up: Execute a strict bus-by-bus pre-departure follow-up mechanism without exception.
• Checklist Management: Maintain accurate bus-wise departure readiness checklists in real time.
• Issue Escalation: Immediately log and elevate potential delays, mechanical breakdowns, or missing crew to the concerned supervisor to enable quick corrective action.

4. Cross-Functional Coordination

• Team Communication: Serve as the primary operational bridge between drivers, conductors, workshop mechanics, and branch operations staff.
• Information Flow: Maintain continuous communication across all teams from the moment a bus enters pre-departure staging until it officially leaves the bay.

5. Reporting & Documentation

• Log Maintenance: Maintain detailed daily logs of bus readiness and inspection records.
• Status Updates: Update and track real-time bus statuses (Ready, Pending, Under Maintenance, or Delayed).
• Daily Reporting: Generate daily reports summarizing departure readiness, delayed departures, pending maintenance issues, and recurring mechanical defects.

Key Performance Indicators (KPIs)

1. Follow-Up Compliance: 100% pre-departure follow-up completed for every scheduled bus.
2. Crew Punctuality: 100% timely reporting of assigned drivers, mechanics, and conductors.
3. Readiness Benchmark: Bus readiness confirmed and signed off at least 2 hours before departure.
4. Punctuality Rate: Zero avoidable departure delays resulting from operational or preparation oversights.
5. Issue Resolution: 100% closure or timely escalation of identified mechanical and operational issues.
6. Data Accuracy: 100% accuracy and timely submission of daily bus readiness and inspection reports.

• Reporting & Discipline: Highly organized, proactive, punctual, and capable of maintaining structured records/MIS reports.
• Experience: 03 years of experience in fleet operations, logistics, transport, or depot management.
