Overview
The US Payroll Specialist is responsible for managing end-to-end payroll processing for US-based employees, ensuring accuracy, compliance, and timeliness. This role requires a strong understanding of US payroll regulations, tax compliance, and payroll systems, along with attention to detail and confidentiality.
Responsibilities
- Process bi-weekly/monthly US payroll for employees across multiple states
- Ensure payroll is accurate, compliant, and processed within deadlines
- Maintain and validate employee data including compensation, benefits, and deductions
- Handle payroll-related tax filings (federal, state, and local) and ensure compliance with US regulations
- Reconcile payroll reports, identify discrepancies, and resolve issues promptly
- Manage garnishments, bonuses, commissions, and off-cycle payments
- Coordinate with HR and Finance teams for employee lifecycle changes (onboarding, offboarding, salary revisions)
- Ensure compliance with laws such as FLSA, IRS regulations, and state-specific payroll requirements
- Support internal and external audits by providing payroll documentation
- Respond to employee payroll queries in a timely and professional manner
- Maintain payroll records and documentation in accordance with company policies
Required Qualifications
- Bachelor’s degree in Finance, Accounting, Human Resources, or related field
- 1-2 years of experience in US payroll processing
- Strong knowledge of US payroll laws, tax regulations, and compliance requirements
- Experience with payroll systems (e.g., ADP, Workday, Paychex, or similar platforms)
- Proficiency in Microsoft Excel (pivot tables, VLOOKUP, etc.)
- High attention to detail and accuracy
- Strong analytical and problem-solving skills
- Ability to handle sensitive and confidential information
