Job summary

Exemplar Luxury Group, a premier luxury retailer, seeks a Buying Operations Specialist to streamline PO processes and coordinate with vendors across US and India. This role reports to Buying Operations and collaborates with Merchandising Planning and North America teams.

You will manage order statuses, ensure timely deliveries, and help onboard new vendors while maintaining detailed trackers and reports. A fast-paced environment requires proactive problem-solving and strong communication.

Role Summary

As a Buying Operations Specialist, you will report to the Manager, Buying Operations. You will work closely with Merchandising Planning, Buying teams in North America, and other teams as necessary. In this role, you will be responsible for managing purchase order processes, coordinating with vendors, tracking order statuses, and acting as a liaison between US Buying offices, vendors, and leadership to ensure seamless operational execution.

Responsibilities

• Process purchase orders (POs) accurately and timely using relevant tools
• Coordinate with vendors and suppliers to confirm order details, delivery schedules, and resolve discrepancies
• Prioritize orders based on urgency, business needs, and service level agreements (SLAs)
• Maintain internal trackers and databases to monitor order statuses, delivery schedules, and costs
• Support the onboarding of new vendors by collecting required documents and setting up records
• Assist in generating reports on buying activity, order accuracy, and vendor compliance
• Ensure adherence to SLAs and flag any delays or exceptions to relevant stakeholders
• Work with Buying Offices, Planners, and Vendors
• Creation and documentation of best practices
• Serve as a liaison between US Buying offices, vendors, and the Leadership team
• Maintain workflow dashboard and reporting of business metrics
• Provide regular reports on order status, vendor performance, and operational metrics
• Execute other specific tasks and special projects as assigned
