Job summary

Brennan Software Licensing Specialist role based in Mumbai, India, focusing on governance, licensing compliance, and cost optimization across the organisation.

You will partner with Procurement, Finance and IT teams to maximise licensing value, handle vendor negotiations, and support audits while ensuring governance throughout the software lifecycle.

Qualifications

  • Minimum 4 years’ experience in software procurement or similar role.
  • Basic understanding of software licensing models with various vendors.
  • 2 Years of experience with managing stakeholders and co‑ordination.
  • Strong verbal & written communication skills are needed for interacting with various stakeholders and presenting information clearly.
  • Expertise in MS Excel & Word.
  • Ability to analyse data, identify trends, and make recommendations related to licensing and cost optimisation.
  • Excellent comprehension & planning skills.

Responsibilities

  • License Management: manage the entire software lifecycle from acquisition to retirement.
  • Compliance & Risk Management: ensure licensing terms are followed and mitigate risks from non-compliance.
  • Cost Optimization: identify opportunities for license consolidation and re‑allocation of unused licenses.
  • Vendor Management: liaise with software vendors, negotiate contracts, and facilitate communication.
  • Reporting & Analysis: generate reports on software usage, compliance, and cost analysis.
  • Software Onboarding and Offboarding: manage onboarding and offboarding of software and licenses.
  • Software Audits: assist with software audits conducted by vendors or internal teams.

The Role
  • The Software Licensing Specialist is responsible for the strategic management, governance, and optimization of software licensing.
  • This role serves as the subject matter expert for software licensing, vendor agreements, compliance management, and cost optimization initiatives, ensuring that software assets are effectively governed throughout their lifecycle.
  • The position partners closely with Procurement, Finance, Technical Services, Sales, Customer Success, and Software Vendors to maximize licensing value, mitigate commercial and compliance risks, and support informed business decision‑making.
  • This role focuses on commercial licensing governance, compliance assurance, vendor engagement, reporting, and optimization activities rather than technical license deployment or infrastructure administration.
  • This role will not be applying licenses or performing any core technical tasks (ex -logging onto the servers)
ROLE RESPONSIBILITIES

Whilst your day‑to‑day activities will vary to meet your role’s mission, KPIs and the operational requirements of the job, we envisage the following key activities being required to achieve success in the position.

Responsibilities of a Software Licensing Coordinator:

  • License Management: The core function is to manage the entire software lifecycle, from acquisition to retirement. This includes tracking software licenses, maintaining records of agreements, and ensuring compliance with terms and conditions.
  • Compliance & Risk Management: Ensuring that the organization adheres to software licensing terms and conditions is vital. This involves monitoring software usage, identifying potential compliance issues, and implementing strategies to mitigate risks associated with unauthorized installations or usage.
  • Cost Optimization: Work to optimize software spending by identifying opportunities for license consolidation, re‑allocation of unused licenses, and exploring alternative licensing models.
  • Vendor Management: Act as a point of contact for software vendors, managing relationships, negotiating contracts, and facilitating communication between the organization and vendors.
  • Reporting & Analysis: This role may involve generating reports on software usage, license compliance, and cost analysis, providing insights for decision‑making.
  • Software Onboarding and Offboarding: Facilitating the onboarding of new software and ensuring proper offboarding of software and licenses when they are no longer needed.
  • Software Audits: Assisting with software audits conducted by vendors or internal teams to verify compliance.

  • Stakeholder involvement - Consistent identification and involvement of stakeholders who need to be consulted in the decision‑making process
KEY QUALIFICATIONS & Experience Essential
  • Minimum 4 years’ experience in the software procurement or similar role.
  • Basic Understanding of software licensing models with various vendors.
