About the Role
We are looking for an experienced Senior HR Executive to manage end-to-end HR operations, with strong hands-on expertise in Keka HRMS. The role involves employee lifecycle management, payroll, statutory compliance, performance management, employee engagement, and HR process improvement. The ideal candidate should be capable of independently managing HR functions and aspire to grow into an HR Manager role.
Keka HRMS & HR Reporting
- Act as the primary administrator and subject matter expert for Keka HRMS.
- Configure and manage Leave & Attendance, Payroll, Performance Management, and Expense Management modules.
- Set up HR policies, workflows, backend configurations, and automated processes.
- Generate customised reports and analyse HR data to identify trends and improve efficiency.
- Troubleshoot system issues and train employees and HR team members on Keka HRMS.
Employee Lifecycle Management:
- Manage end-to-end onboarding, pre-joining formalities, offer letters, documentation, and background verification (BGV).
- Coordinate IT asset allocation and conduct structured employee induction programs.
- Manage employee exits, exit interviews, departmental clearances, and Full & Final (FnF) settlements.
- Maintain accurate employee records, organisational charts, and confidential digital HR files.
Payroll, Compensation & HR Budgeting:
- Manage pre-payroll activities, including attendance, leave, Loss of Pay (LOP), and payroll inputs.
- Oversee salary structures, employee compensation processes, and tax declarations.
- Coordinate with the Finance/Accounts team to ensure timely and accurate payroll processing.
- Resolve payroll-related employee queries and support compensation planning.
- Prepare and manage HR budgets in coordination with founders, including employee welfare, engagement, and other HR initiatives.
Performance Management & Employee Engagement:
- Manage performance appraisal cycles, including 360-degree feedback and performance reviews.
- Drive employee engagement, team-building, and workplace wellness initiatives.
- Ensure a consistent employee experience for remote and in-office employees.
- Handle employee grievances, workplace conflicts, and employee relations with professionalism and empathy.
- Mentor junior HR team members and support their development.
Statutory Compliance & HR Administration:
- Ensure compliance with applicable Indian labour laws, including the Shops and Establishments Act, Maternity Benefit Act, and POSH requirements.
- Manage statutory requirements related to PF, ESIC, Professional Tax (PT), TDS, and Gratuity.
- Monitor changes in labour laws, minimum wage regulations, and statutory requirements.
- Draft, update, and implement HR policies, employee handbooks, and Standard Operating Procedures (SOPs).
- Ensure HR processes are documented, consistently followed, and compliant with applicable regulations.
- Maintain the confidentiality and security of employee information.
Required Skills:
- 6+ years of experience in HR Operations, preferably within the IT/Software Services industry.
- Mandatory, hands-on expertise in Keka HRMS administration, configuration, workflows, policies, and backend settings.
- Ability to configure HR policies and processes in Keka from scratch and troubleshoot system-related issues.
- Strong understanding of payroll processing, compensation, and Indian statutory compliance.
- Experience in employee lifecycle management, performance appraisals, and employee relations.
- Strong MS Excel/Google Sheets skills, including VLOOKUP, Pivot Tables, and HR data analysis.
- Excellent written and verbal communication, interpersonal, problem-solving, and stakeholder management skills.
- Strong ownership, emotional intelligence, discretion, and the ability to work independently.
Preferred Qualifications:
- Bachelor's or Master's degree in Human Resources, Business Administration, or a related field.
- Experience implementing or migrating an organisation to Keka HRMS.
- Knowledge of HR automation, AI tools, workflow optimisation, and data-driven process improvement.
- Ability to build scalable HR systems, documentation, and processes that reduce manual dependency.
