IBA is seeking a proactive and highly organized Site Administration & Logistics Coordinator for a part-time role at our Chennai site. The role supports a global engineering team and collaborates with IBA Headquarters and regional teams to handle site administration, logistics, inventory, finance, and HR paperwork.

You will manage office operations, coordinate shipments, assist with onboarding, and maintain regulatory and quality documentation.

Qualifications

• A relevant degree or equivalent professional experience.
• At least 4 years of experience in site administration, office management, logistics, or operational support.
• Experience with inventory management, stock control, logistics, or supply chain coordination is advantageous.
• Proficient with Microsoft Office and administrative systems.
• Professional English communication; Tamil and Hindi preferred.

Responsibilities

• Coordinate daily site administration, meetings, visits, and communication.
• Manage office supplies, vendors, contracts, equipment, and facility requests.
• Organize business travel and support employee onboarding and training.
• Coordinate shipments, inventory, stock tracking, tool calibration, and returns.
• Process purchase orders, invoices, expenses, petty cash, and cost reports.
• Maintain HR, EHS, quality, and administrative documentation.

Mission

Are you an experienced Site Administrator, Administration Executive, Office Coordinator, or Logistics Coordinator looking for a meaningful part-time opportunity in an international healthcare technology company?
IBA is looking for a proactive and highly organized Site Administration & Logistics Coordinator to support the daily operations of our Proton Therapy site in Chennai.
In this role, you will be the main administrative point of contact for the local engineering team and will coordinate closely with IBA Headquarters and other regional and global teams. You will support site administration, office management, logistics, inventory, finance, travel arrangements, HR administration, and quality documentation.
From time to time, you will also provide administrative and logistics support to other IBA sites and projects in India.

Compensation package

The total guaranteed annual compensation range (which includes annual base salary, as well as flexible budget if applicable, and car budget in specific locations) for this position is provided below:

Total gross guaranteed annual compensation range (Indian Rupee) : 3.57.000 - 5.43.500
