Job Position Summary

• To work in the capacity of an Senior Executive to take care of operations and planning.
• Documentation of existing candidates.
• Maintain communication with existing staff to keep up the retention as per company expectations.
• Clearing and vessel joining formalities of Existing candidates.

Key Roles and Responsibilities

• Check the documents of the candidates on leave and communicate with them by email and phone for the same. Thereafter follow-up calls at regular intervals for document status and availability.
• Recheck vessel-specific documents of the candidates once the vessel is assigned. Get the missing documents from the candidate and upload if any. Call the candidate to discuss the joining plan and share vessel details.
• Coordinate for USA and Schengen visa.
• Plan the candidates as per their availability.
• Talk and coordinate with tech for approvals.
• Get the candidate recommended in Paris/ Get his deviation cleared by N1.
• Handle queries received from Existing staff and their families regarding (Joining, signoff, documentation, promotion, grievances, etc.) Approx. I0-20 phone calls daily.
• Book in-house and other vessel-specific courses like LSH, DF etc. for the candidates on leave.
• Book mentoring for candidates due for promotions.
• Miscellaneous tasks /Data filtering and assisting for arranging webinars and seminars.
• Helping teams with various audits mainly for the tanker cell.
• Liaising with accounts team for delayed allotments of candidates.
• Liaising with fleet care team for various letters related to DG & misc.
• Liaising with branch office for planning ex hands.
• Checking / liaising with various training institutes & candidates for STCW courses.
• Weekly calls to the Seafarer to maintain an accord with them.
• Social Engagement with Seafarers.
• A frequent informal survey of seafarers to understand the opportunity to increase potential hires.

Job Experience, Functional Knowledge and Qualifications

• Degree holder of any faculty with minimum 5 years of work experience in shipping industry.
• Experience in documentation in shipping industry dealing with shore-based requirements.
• Good Communication Skills.
• Excellent on MS-Office.
