Job summary

Gallagher in India seeks an experienced operations professional to join the Smart Follow & Facility Underwriting team. You will handle submission intake, data validation and workflow management to support accurate, compliant processing.

Responsibilities include maintaining records, generating bordereaux and management information, and coordinating with London underwriters and internal stakeholders to enable timely, controlled outcomes.

Overview

The role supports the efficient, accurate and controlled operation of Pen's Smart Follow & Facility Underwriting division, an in-house, rules-based Smart Follow facility, to include the overseeing the administration of business from submission intake through to binding, endorsements and reporting.

Responsibilities include data validation, workflow management, maintenance of the system of record, and the production of bordereaux and management information to support operational, underwriting and regulatory requirements.

The target operating model is expected to combine London-based broker and underwriting activity with operational processing, record maintenance and reporting delivered through the GCoE. As the facility evolves, the role will play a key part in embedding processes, controls and reporting capabilities.

How you'll make an impact

Responsibilities:

Submission intake and validation

• Review incoming submissions and proposal data for completeness, consistency and accuracy (in manual workaround, months 0-6) Record incoming submissions in a clear and structured format
• Manage sanctions checking if appropriate
• Check each submission against defined facility requirements and identify missing or conflicting information
• Route cases to the appropriate workflow, including straight-through quoting, referral or decline
• Communicate data or documentation requirements to London colleagues promptly

System and workflow administration

• Maintain accurate records for enquiries, quotes, referrals, endorsements, bound premium and status changes
• Update the facility system of record and supporting trackers in line with agreed procedures and service standards
• Monitor work queues, ageing items and outstanding actions, escalating exceptions when requiredMaintain complete documentation and a clear audit trail for each transaction

Bordereaux and reporting

• Produce and validate premium, risk and claims bordereaux in the required (high likelihood) Lloyd'sformat and timetable
• Support facility reporting to capacity providers, Gallagher Specialty and other internal stakeholders
• Reconcile source data to bound records and investigate data-quality exceptions
• Provide data for utilisation, conversion, referral, endorsement and service-level reporting

Quality and controls

• Complete data-quality checks and prescribed operational controls
• Support underwriting file reviews, internal audits, Coverholder oversight and remediation activity
• Follow documented procedures, authorities and escalation routes
• Identify recurring data or process issues and raise improvement opportunities

Team and stakeholder support

• Work closely with London Underwriters and the Smart Follow & Facility Underwriting Lead
• Respond to operational queries clearly and maintain effective hand-offs between teams
• Contribute to knowledge materials, standard operating procedures and team training

About you

Qualifications:

Essential

• Strong experience and understanding of Lloyd's underwriting procedures, systems etc
• Strong attention to detail and confidence working with structured data
• Experience in insurance operations, underwriting support, policy administration or a comparable controlled processing environment
• Ability to follow rules, procedures, service levels and escalation requirements consistently
• Good Excel capability and experience maintaining operational records or reports
• Clear written communication and ability to collaborate across locations

Desirable

• Experience within a GCoE, shared services or offshore insurance operation
• Knowledge MGA, delegated authority or Coverholder business
• Experience producing or validating bordereaux
• Exposure to underwriting, policy administration or workflow systems
