Job summary

Gallagher seeks a Bid Content Specialist – Knowledge and Document Manager in Bengaluru to govern the bid library and coordinate proposal content. You will work with Sales Teams to source and communicate Gallagher’s value proposition across Responsive, SharePoint, WIN, OneNote, and Microsoft 365 platforms.

You will champion content governance, collaboration with stakeholders, and adoption of AI tools to elevate content quality, productivity, and proposal development efficiency.

Qualifications

• Bachelor's degree in Business Management is required.
• Knowledge of CMS and content governance is essential.
• Experience with proposal content management and SEO is preferred.

Responsibilities

• Capture, store, share, and reuse bidding information within Gallagher.
• Manage end-to-end proposal intake, opportunity setup, tracking, and documentation across systems.
• Maintain content repositories, response libraries, and knowledge assets.

Overview

Gallagher Center of Excellence (GCoE) is seeking to hire a Bid Content Specialist – Knowledge and Document Manager. As a Bid Proposal Knowledge Specialist you are responsible for ensuring Gallagher’s Bid Library is proactively maintained with fresh, relevant content.

The Proposal Knowledge Specialist is responsible for managing Gallagher's proposal content, knowledge assets, and proposal administration processes across Responsive, SharePoint, WIN, OneNote, and Microsoft 365 platforms. You will become an expert in using Gallagher’s ‘Responsive – formerly RFPIO’ technology to work with Sales Teams to capture and communicate our value proposition. You will use the Bid Library to provide Sales Teams with answer content across all Gallagher propositions. The role ensures content accuracy, governance, discoverability, and operational excellence while supporting proposal teams through effective knowledge management and stakeholder collaboration. As a champion of AI and digital enablement, the specialist promotes the adoption of Microsoft Copilot and other emerging technologies to improve content quality, productivity, and proposal development efficiency.

How you'll make an impact

• Knowledge Management (Responsive IO): Systematically capture, store, share, and reuse information related to bidding and proposal development within Gallagher.
• Proposal Administration: Manage end-to-end proposal intake, opportunity setup, tracking, and project documentation across WIN, OneNote, SharePoint, Outlook and Responsive.
• Content Management: Maintain, organize, and optimize content repositories, response libraries, and proposal knowledge assets.
• Content Governance: Manage content and project lifecycle activities, including content review, updates, archiving, metadata management, tagging, and search optimization.
• Collaboration: Work closely with sales, specifically Bid Managers and Proposition Leads, and other relevant teams to gather information and insights necessary for content development.
• Stakeholder Collaboration: Partner with proposal teams, subject matter experts, legal teams, and business stakeholders to capture and maintain approved content and messaging.
• Performance Optimization: Monitor content usage and performance metrics and recommend improvements to enhance content effectiveness and user experience.
• AI Advocacy & Digital Enablement: Act as a champion for AI and digital technologies by promoting adoption, sharing best practices, identifying use cases, and leveraging tools such as Microsoft Copilot to enhance proposal development, content management, and operational efficiency.
• All other duties as assigned.

About you

Qualifications:

Education

• Minimum Required Degree: Bachelor's Degree in Business Management.
• Preferred Qualification: Knowledge Management Certifications.

Certifications / Special Training

• Knowledge Capture Certification or equivalent.
• Certification in Insurance Bid Writing is highly preferred.
• Proficiency in content management systems (CMS) such as WordPress.
• Certification in advanced content strategy or copywriting is beneficial.

Experience

• Bachelor’s degree in Communications, Marketing, Journalism, or a related field.
• 6+ years of experience in content creation, SEO, and digital marketing, preferably within the financial or insurance industry.
• Strong knowledge of SEO tools (Google Analytics, SEMrush, Moz) and content management systems (e.g., WordPress, HubSpot).
