Job summary

Primum Talent Group is seeking an experienced Purchasing Coordinator in Ahmedabad, India to manage the buying side of multi-store operations. You will place and track purchase orders, oversee automatic replenishment, and coordinate with over 25 vendors to keep stock aligned with sales velocity.

Work Hours: US Shift - Must overlap at least 5 hours with US Eastern Time (approx. 6:30 PM - 3:30 AM IST, or as agreed)

About the Role

We are looking for an experienced Purchasing Coordinator to manage the buying side of multi-store retail operations. The role will involve placing and tracking purchase orders, managing automatic replenishment, coordinating with vendors, and closely monitoring store-level sales and inventory to ensure the right products are ordered at the right time and in the right quantities.

The ideal candidate should have strong experience in retail purchasing, inventory management, or supply-chain coordination, along with good Excel and analytical skills.

Key Responsibilities

Purchase Order Management

• Create and submit purchase orders to vendors based on current stock levels, sales velocity, and upcoming requirements.
• Manage purchase orders across 12+ stores and 25+ vendors.
• Review supplier minimum order quantities, lead times, and order requirements.
• Track purchase orders and confirm that vendors have received and processed them.
• Use sales history and inventory data to determine what to order, when to order, and in what quantity.
• Create purchase orders manually or through system-generated recommendations.

Auto Ships / Automatic Replenishment

• Set up and maintain automatic replenishment rules for fast-moving and staple products.
• Review automatic orders regularly to identify over-ordering, under-ordering, or incorrect replenishment.
• Maintain appropriate minimum/maximum levels, par levels, and vendor lead times.
• Adjust suggested order quantities based on sales trends, inventory levels, and business requirements.
• Ensure new inventory or manufacturer-required products are ordered and distributed across stores as needed.
• Communicate regularly with vendors regarding purchase orders, confirmations, delivery schedules, backorders, substitutions, and cost changes.
• Follow up on delayed or incomplete orders.
• Resolve discrepancies related to quantities, pricing, damaged goods, invoices, or shipments.
• Maintain accurate vendor and purchasing records.
• Update order confirmations, cost changes, and invoice corrections in the retail back-office system.
• Regularly review sales and inventory data for each store.
• Identify low-stock, excess-stock, and unusual sales trends.
• Use sales velocity and inventory levels to improve purchasing decisions.
• Coordinate stock transfers between stores where appropriate instead of purchasing additional inventory from suppliers.
• Review store-level performance and identify products or locations requiring attention.

Required Qualifications

• 4-5+ years of experience in retail purchasing, inventory management, supply-chain coordination, or a similar role.
• Experience in grocery, convenience store, or multi-store retail will be preferred.
• Comfortable working with POS / retail back-office systems.
• Prior experience with ECRS Catapult is an advantage but not mandatory.
• Strong vendor-facing communication skills, both written and verbal.
• Good knowledge of Microsoft Excel and ability to work with sales and inventory reports.
• Strong analytical and numerical skills.
• Excellent attention to detail and organizational skills.
• Ability to manage multiple purchase orders, vendors, stores, and follow-ups simultaneously.
• Willingness to work in a US shift and maintain the required overlap with US Eastern Time.
