Job summary

NOVs is seeking a project administrator to support capital equipment orders from start to finish, ensuring accurate information across systems and conversations to deliver value to NOVs' customers.

You will prepare quotations, assist in project documentation, manage ERP entries, cost calculations, and coordination with accounting, while traveling up to 10% internationally; strong organization and customer focus required.

Qualifications

  • University degree in finance, engineering, business, or related fields.
  • Min. 3 years experience working in a fast-paced, global, multicultural environment.
  • Min. 1 years in project management related roles.
  • Technical Competencies: Microsoft Office Suite.

Responsibilities

  • Prepare customer quotations under the guidance of the Project Manager.
  • Assist in the preparation of project documentation, including method statements, reports, and technical documents.
  • Create and maintain project order details in ERP or other project management software.
  • Process and calculate costs associated with service trips and support project cost administration.
  • Prepare packing lists under the guidance of the Project Manager.
  • Coordinate the collection, documentation, and follow-up of client feedback.
  • Support project close-out activities, including document filing, archiving, and ensuring project records are complete and properly maintained.
  • Compile back up documentation, calculate, and generate invoices.
  • Liaise with project accounting team to ensure proper revenue recognition.
  • Provide administrative support to project managers and project teams.
  • Coordinate communication and reporting tasks to support project execution.
  • Prepare agendas, minutes, and follow-up actions for project meetings.
  • Organize project-related travel and event arrangements in collaboration with Office Assistants.
  • Maintain project-specific mailboxes and ensure timely handling of confidential and time-sensitive communication.
  • Adhere to all NOV policies and compliance with local and regional statutory regulations.
