Brief Summary

The Project Management Officer (PMO) ensures successful delivery of projects and portfolios by providing governance, financial administration, resource management, reporting, and compliance support. This role also manages tools and systems, facilitates audits, and drives process improvements.

In your future role as “Project Management Officer” you will have below key responsibilities.
Key Responsibilities:
Project & Portfolio Governance
  • Ensure adherence to PMO standards, methodologies, and compliance requirements.
  • Conduct project closure checks to confirm all deliverables and documentation are completed. Process explanation and update - PMO Manual.
  • Plan Monthly Project Portfolio & Service Performance Review.
  • Key User role/meetings.
  • (Project) Teams site requesting.
Financial Administration
  • Create and manage Purchase Orders (IT Projects and IT Services).
  • Handle invoice processing and Service Entries (SAP VIM cockpit).
  • Support financial closure and arrange accruals.
  • Facilitate Year-End Procedure including accruals and fiscal period setup.
  • IT Services budget excel updates.
  • Support It contract management.
  • SWIFT portal invoice downloads for approval and SE creation.
Resource Management
  • Time Writing set up employee (HR mini master set-up).
  • Time Writing set up & maintenance and WBS creation.
  • Approve external hire systems (Netive) time sheets based on SAP TW report.
  • Resource rates: check and update in SAP following exchange rate changes.
Reporting & Data Quality
  • Bi-Weekly SI report including planning meetings.
  • Monthly Finance (Portfolio) report and weekly updates.
  • Monthly Chargeability report.
  • Monthly Business/IT Portfolio Boards Portfolio overviews update.
  • Strategic Portfolio Management (SPM) based Process control and data quality checks (ServiceNow).
Tools & Systems Management
  • ServiceNow: update budget reference rates and manage SPM Group Membership.
  • ServiceNow SPM regression testing for release upgrades.
  • SAP UserID creation requests.
  • Mailbox management and problem solving.
  • Maintain contract-related master data in SharePoint and ServiceNow.
Compliance & Audit Support
  • Facilitate audits and ensure documentation readiness.
  • Ensure adherence to internal controls and governance standards.
We believe you are
  • Business, Admin, IT, or related field.
  • Bachelor’s degree in business, management, IT, or related field.
  • 3+ years of experience in PMO or project management roles.
  • Proficiency in ServiceNow, SAP, SharePoint, and MS Office Suite (Excel).
  • Excellent organizational, analytical, and communication skills.
  • Experience in IT or digital transformation projects.
  • Ability to manage multiple priorities and work under tight deadlines.
  • Knowledge of improving processes and work instructions.
  • Strong stakeholder engagement and problem‑solving capabilities.
