Job summary

Forms+Surfaces is seeking a Project Sales Coordinator to join the Pune Plant team. The role focuses on end-to-end inside sales coordination, tender preparation, quotations, and cross-functional order flow.

You will coordinate with sales, operations, engineering, accounts, logistics, and installation to ensure timely order entry, production, and dispatch, while maintaining strong customer relationships and handling export processes.

Qualifications

• Bachelor's degree in mechanical, civil, or interiors design.
• 5–6 years in sales coordination or inside sales.
• Experience in managing customer service or sales coordination functions.
• Experience in architectural products environment preferred.
• Experience in handling export orders for Middle East, APEC & Europe.
• Detail-oriented with strong analytical and decision-making ability.
• Excellent written and spoken English.
• ERP experience (M2M ERP preferred).
• Ability to read drawings and understand specifications.

Responsibilities

• End-to-end inside sales coordination management.
• Understand PO terms, work orders, and contract agreements.
• Study and prepare customer tenders, BOQ estimation and bidding documents.
• Prepare quotations, technical proposals, purchase orders, and approvals.
• Coordinate among sales, operations, engineering, accounts, logistics, and installation.
• Maintain relationships with customers and resolve complaints.
• Coordinate payments, LCs, ABG/PBG documentation with finance and logistics.
• Prepare sales and financial reports as required.
• Create and maintain customer database in ERP.
• Prepare order documents like sales orders and pro-forma invoices.
• Follow up on accounts receivable with sales managers.
• Coordinate warranty, rejection, and replacement claims.
• Ensure compliance documentation and export process knowledge.
• Communicate project progress across India, Middle East, APEC & Europe.

Project Sales Coordinator

Job Location: Pune Plant - Lonikand (Near Wagholi), Pune

Scope and responsibilities:

• Responsible for end to end inside sales coordination management
• Profitability Management. Should be able to understand PO terms, Work order, contract agreement, etc.
• Study and prepare customer tenders, BOQ estimation and bidding documents.
• Providing sales support to sales team by preparing quotations, detailed technical proposals, purchase orders into sales order and getting approvals from customer: PO, advance, sample and drawing (CSD) approval.
• Co-ordinate among sales team, operations, engineering, accounts, logistics and installation to facilitate orders entry, production & dispatch etc.
• Maintaining good relationships with customers by working closely with the sales team. Interact with customers on progress of order and resolve complaints.
• Work with finance and logistics for payments, letter of credit, ABG/ PBG related documentation.
• Preparing sales reports and other financial reports as may be required.
• Create and maintain database (address, contacts, GST details, etc) of all customers in ERP.
• Prepare order related documents like sales order, pro-forma invoices, etc. from the in ERP.
• Follow up on account receivables in coordination with sales managers.
• Coordinate warranty, rejection, replacement claims.
• Coordinate for compliance related documentation.
• Communication and project coordination in India, Middle east, APEC & Europe.
• Fulfilment of ISO and other compliances within the company.

Required qualifications, skills and experiences:

• Bachelor’s degree in mechanical engineering / civil engineering or interiors design.
• 5-6 years of work experience as Sales Coordination or Inside Sales. At least 5 years’
• Experience in managing customer service function or sales coordination function.
• Work experience in architectural products environment is preferred.
• Experience in handling export orders for Middle east, APEC & Europe.
• Detail-oriented with strong analytical and decision-making ability.
• Excellent written and spoken English.
• Excellent IT skills and ability to learn and champion company’s systems.
• ERP experience (preferably M2M ERP).
• Ability to read and understand drawings & documents, determine scope of work and communicate it to respective teams.
• High energy, motivated individual with strong interpersonal skills, while being assertive in a team environment. Problem solving and ability to close the issues.
• Ability to read and understand material specifications.
• Able to work with various departments effectively.
• Understand on export process, incoterms, documentation.
• RFP/ RFQ handling & sales order making in ERP.
• Basic knowledge of taxation.
• Ready to relocate near to factory near Wagholi, Pune.
