Job summary

RWS Group in Mumbai seeks an experienced Project Manager to be the primary client contact and oversee cross-functional teams for successful project delivery. You will ensure budget discipline, enable strategic improvements, and lead initiatives across localization and related services.

You will manage project planning, financials, documentation, and stakeholder communication while mentoring junior staff and driving quality and efficiency across global partners.

Qualifications

  • Bachelor's degree or equivalent combination of education and relevant experience.
  • Minimum of 5 years of project management experience required; 3–5 years in localization/language services is a plus.
  • Strong project management, organizational, and prioritization skills for multiple projects with tight deadlines.
  • Excellent problem-solving, analytical, and decision-making skills for complex project requirements.
  • Exceptional verbal and written communication in English to engage clients, suppliers, and cross-functional teams.
  • PMP certification or equivalent PM certification preferred.

Responsibilities

  • Serve as the primary point of contact for assigned clients and ensure high client satisfaction.
  • Plan, launch, and manage multiple projects from initiation to closure within scope, time, budget, and quality expectations.
  • Prepare project estimates, quotations, schedules, budgets, and proposals per processes and commercial requirements.
  • Monitor project financials including budgets, profitability, invoicing, POs, change orders, and forecasting; address variances.
  • Develop project plans, timelines, and resource allocation with internal teams and external partners.
  • Identify and mitigate risks; escalate issues to minimize business impact.
  • Maintain regular communication with clients, global teams, suppliers, and internal stakeholders with updates and meetings.
  • Ensure compliance with ISO standards, quality guidelines, and proper project documentation.
  • Collaborate with Supply Chain to optimize resources and delivery quality.
  • Participate in CAPA and other quality improvement activities.
  • Prepare and maintain project documents, handovers, translation memory updates, and archiving.
  • Analyze performance, profitability, and metrics to drive improvements in delivery and account performance.
  • Forecast workload for account planning and support strategic initiatives.
  • Mentor junior team members and promote knowledge sharing across global teams.

Job description

The Project Manager serves as the primary client contact for assigned accounts and supports the Program Manager as needed. The Project Manager collaborates with cross‑functional teams to discuss open and emerging business issues for assigned accounts, provide strategic recommendations for continuous improvement, and ensure successful project delivery. The role is responsible for maintaining robust communication with clients and internal stakeholders while ensuring financial discipline and oversight throughout the project lifecycle, including budget monitoring, cost control, forecasting, and financial reporting. The Project Manager may lead the implementation of new initiatives, manage special projects, and oversee the activities of one or more junior team members, including work allocation, coaching, and performance support, to ensure projects are delivered on time, within scope, and within budget.

Key Responsibilities
  • Serve as the primary point of contact for assigned clients, building strong relationships and ensuring high levels of client satisfaction.
  • Plan, launch, and manage multiple projects from initiation through closure, ensuring delivery on time, within scope, budget, and quality expectations.
  • Prepare project estimates, quotations, schedules, budgets, and proposals in accordance with established processes and commercial requirements.
  • Monitor project financials throughout the project lifecycle, including budgets, profitability, invoicing, purchase orders, change orders, and forecasting; identify variances and implement corrective actions as needed.
  • Develop project plans, workflows, timelines, and resource allocation strategies, collaborating with internal teams and external partners to ensure successful execution.
  • Proactively identify, assess, communicate, and mitigate project risks, escalating issues appropriately to minimize business impact.
  • Maintain regular communication with clients, global teams, suppliers, and internal stakeholders by providing project updates, status reports, and facilitating project meetings.
  • Ensure compliance with company processes, quality standards, client requirements, ISO standards, and regulatory guidelines, maintaining accurate project documentation and records.
  • Collaborate with Supply Chain and cross‑functional teams to optimize resource utilization, delivery quality, and operational efficiency.
  • Support continuous improvement initiatives by identifying process enhancements, contributing to workflow optimization, and participating in CAPA and other quality improvement activities.
  • Prepare and maintain project documentation, including project instructions, handover documents, translation memory updates, project closure activities, and document archiving.
  • Analyze project performance, profitability, and operational metrics to provide insights and recommendations for improved delivery and account performance.
  • Support account planning by forecasting workload, contributing to client presentations, and assisting with the implementation of strategic account initiatives.
  • Provide guidance, work allocation, and mentoring to junior project team members, fostering knowledge sharing and professional development.
Skills & Experience
  • Bachelor's degree or equivalent combination of education and relevant experience.
  • Minimum of 5 years of project management experience required. 3 to 5 years managing projects within the localization/language services industry will be a plus.
  • Strong project management, organizational, and prioritization skills, with the ability to manage multiple projects and competing deadlines in a fast‑paced environment.
  • Excellent problem‑solving, analytical, and decision‑making skills, with the ability to assess complex project requirements and deliver practical solutions.
  • Exceptional verbal and written communication skills in English, with the ability to build strong relationships and effectively engage clients, suppliers, and cross‑functional teams.
  • Proven ability to work independently, exercise sound judgment, and maintain confidentiality while managing sensitive commercial and financial information.
  • Strong attention to detail and commitment to delivering high‑quality, accurate project outcomes.
  • Collaborative team player with experience mentoring or supporting junior team members and working effectively across global teams.
  • Proficiency in Microsoft Office applications, particularly Excel, and Google Workspace.
  • Hands‑on experience with Computer Assisted Translation (CAT) and Translation Management Systems (TMS), such as Trados, along with familiarity with localization workflows and translation memory concepts and experience with desktop publishing tools (e.g., Adobe InDesign or FrameMaker) will be an advantage.
  • Demonstrated commitment to continuous improvement, focused on leveraging automation and AI‑enabled tools to enhance project delivery, productivity, and operational efficiency.
  • Experience working within quality management frameworks (e.g., ISO standards) and regulated and/or quality driven environments is desirable.
  • Verbal and written fluency in at least one additional foreign language is an advantage.
  • PMP certification or equivalent project management certification is preferred.
